Purpose of the Role
The Trade Coordinator ensures efficient, accurate and compliant execution of international trade transactions by independently managing end-to-end shipping, documentation and communication processes. The role coordinates logistical steps and communication with suppliers, logistics providers, internal teams and customers to support smooth delivery and alignment with trade terms and contractual conditions. If required, the Trade Coordinator can also assist in or execute the training of more junior colleagues.
Key Responsibilities
• Manage contracts, including sales and purchase contracts, contracts with shipping companies, credit checks and third-party risk checks.
• Coordinate and communicate with suppliers, agents, banks, carriers, customers and internal stakeholders before and after shipment.
• Monitor shipments and proactively resolve logistical issues with shipping lines, inspection companies, forwarders, agents and other stakeholders.
• Prepare trade documents accurately and on time, including invoices, packing lists, certificates, bills of lading, letters of indemnity and certificates of origin.
• Ensure timely payments to suppliers, shipping lines and other external partners according to negotiated payment terms and internal procedures.
• Follow up on receipt of customer payments and support compliant export LC handling.
• Maintain accurate order and shipment records in ERP systems and document archives.
• Assist in claim handling.
• Ensure compliance with Incoterms, trade regulations and internal SOPs, and escalate issues to the correct departments in a timely way.
• Guide and verify the work of a Junior Trade Coordinator where applicable.
• Contribute to team KPIs, including calculations, invoicing and accounts payable.
• Contribute to TCU projects and assist other departments if requested.
Key Working Relationships
Internal
• Team Leader - operational and personal matters and escalation of problems
• Own TCU team - shipment execution and issue resolution
• Own commercial team - contract alignment, commercial or governance issues and file-related topics
• Internal customers or affiliates, if applicable - shipment updates and documents
• Sourcing offices, if applicable - contract execution, freight rates and shipment coordination
External
• Customers - shipment documents and regular updates
• Suppliers - contract execution
• Freight forwarders, shipping lines and logistic agents - shipment coordination
• Banks - bank-related documents and topics
• Transport insurance companies - insurance claims and vessel proposals
• Customs agents, inspection agents and waiver agents - clearance, inspection and waiver coordination

Experience
• 2-5 years in international trade coordination, export/import operations or logistics administration
• Experience with Letters of Credit and trade finance is preferred

Knowledge and Skills
• Bachelor's or master's degree in International Trade, Logistics, Supply Chain Management or equivalent depending on experience
• Advanced knowledge of trading and supply chain topics, such as Incoterms, customs, breakbulk and multimodal transport
• Advanced knowledge of trade and supply chain documents, such as COA, CO, BL, LC, waivers and insurance
• Service excellence orientation
• Well-organized way of working, steady pace, prioritization and accuracy
• Ability to work independently and in a team
• Strong sense of accountability
• Strong written and verbal communication skills
• Fluent in English and proficient in French
• Proactive and analytical mindset
• Proficiency in ERP systems, such as Microsoft D365, Microsoft Office and document management tools
