Academic Assistant for Clinical Education

THE OPPORTUNITY
- With oversight and direction from the Vice Dean for Clinical Education, the Academic Assistant for Clinical Education is responsible for the operational and financial management of Clinical Education activities. The position requires a comprehensive and detailed understanding of accreditation policies and hospital policies, as well as a high degree of initiative and independent judgment.
- The Academic Assistant for Clinical Education will continually assess and direct a wide range of programmatic issues including long range planning, recruiting trainees, developing projects, analyzing administrative workflow, maintaining databases, communicating with faculty and trainees regarding a range of issues, and managing internal and external program relations.
POSITION RESPONSIBILITIES
REPORT TO: Vice Dean for Clinical Education
- Provides administrative support to the clinical education programs by working directly with Vice Dean for Clinical Education and, where directed, clinical faculty to coordinate appointments, plan and execute all aspects of meetings, including agenda development, preparation of materials, briefing of participants, logistics, and follow-up.
- Perform high-level administrative and logistical support to the Vice Dean for Clinical Education, including both internal and external communications with staff, faculty, residents, students, and other constituencies as needed. Schedules and coordinates supervisor's appointments and/or travel arrangements as requested. Greeting and directing visitors, dealing with administrative problems and inquiries, as appropriate.
- Composes and prepares written documentation, correspondences, reports and other documents for the department as requested; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.
- Support for the clinical programs' academic research projects, including performing cursory literature reviews, and assisting with data analysis under guidance from clinical faculty.
- Gathers, enters, and/or updates data to maintain clinical program records and databases, establishes and maintains files and records for the clinical programs.
- Assist in the performance of various financial and budgetary tasks including preparing and monitoring budgets, preparing reports, and utilizing the appropriate process to pay for goods or services purchased by the clinical education programs.
- Supports the department by performing all other duties as assigned by the department head.
Internship and work-study students support where requested.
- When requested, supports residency recruitment activities including recruitment events at outside medical schools, IFOM Exam planning and administration, interview days, interview scheduling, and applicant evaluations.
- Assists in planning clinical programs' annual events including recruitment, orientation, graduation, faculty retreats, as well as various meetings and program-related events.
- Organizes meetings and prepares and distributes materials for conferences and lectures. Addresses logistical needs for room reservations and audio-visual equipment.

Penn's medical and nursing schools are functioning in a similar fashion to guide the formation of health science education at VinUniversity and to interface with Vinmec, Vingroup's outstanding health system which currently encompasses 7 hospitals throughout Vietnam. VinUniversity aims to meet the QS 5-star rating standards and will include the following colleges within the University: a College of Business & Management (including Hospitality, and Real Estate); a College of Engineering and Computer Science; a College of Health Sciences. The University will be an English Medium Instruction (EMI) institution and plans to open for the inaugural class of students in Fall 2020.
