1. Office Management:
Manage payment for the monthly office expenses
Manage pantry supplies within budget, ensuring timely procurement and restocking..
Plan in-house or off-site activities, like parties, celebrations, conferences, and travel arrangement
Manage assets, supplies, stationery, service providers, and other resources.
Maintain the office condition and arrange necessary repairs
Develop office policies and procedures, and ensure they are implemented appropriately
Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
Save and control document files in Drive storage
Build, contact and order with vendors for desks, chairs, stationery, souvenir, uniform, printing, gifts, etc
2. Event Week Preparation and Coordination:
Plan and implement logistics for events, conferences, press conferences, etc.
Coordinate the preparation of venues, equipment, catering, transportation, travel insurance, and accommodation for SEV's staffs, freelancers,.. during event weeks.
Budget management and optimization.
Emergency Response: Be prepared to respond to HR-related issues and emergencies during event week, collaborating with the management team as necessary.
Collab with other departments to prepare & manage on-site office
3. Support to
HR Manager:
Ensure up to date tracking on the team's daily/ weekly to-do list
Propose solutions to improve the efficiency and effectiveness of the department.
Perform other tasks as directed by the Manager.
At least 1-3 years of experience in the role of Admin Executive or related position, preferably in startup companies.
Interest and passion for Events & can travel to other city, especially during event weeks
Multitasking and the ability to handle work pressure, ensure all tasks and project assignments are completed within established deadlines.
Effective organization, logic, problem-solving, and teamwork skills.
Strong build relationships, communication skills to meet the needs of employees and leadership, keep a positive attitude and embody the values of the Company.
Proficiency in office tools and use of technology.
