About the Department
We manage and administer matters relating to real estate on behalf of the Group. These include lease management, facilities management, as well as security and general service matters.
Job Responsibilities
• Oversee the administrative functions of a real estate company, managing day-to-day operations by communicating with various stakeholders, maintaining accurate documentation, while leading one of the administrative staff to support the operations.
• Coordinate with Group Finance and PwC (outsourced bookkeeper) on accounting, financial and tax reporting.
• Prepare budget for real estate.
• Report to Group Corporate Real Estate Services (CRES) in Singapore.
Finance Operations
• Accounts Payable: Process invoices, manage vendor relationships, and ensure timely payments.
• Accounts Receivable: Manage customer invoices, payments, and credit memos.
• Monitor closely the loan drawdowns from Group and payment of interests to onshore lenders.
• Budgeting and Forecasting: Assist in preparing budgets and forecasts, analyzing financial data and trends.
• Compliance and Risk Management: Ensure adherence to financial regulations, laws, and company policies, identifying and mitigating potential risks.
• Ensuring compliance with company policies.
• Handshake and coordinate with outsourced bookkeeper PwC for accounting other financial reporting such as prepare and distribute financial reports, including balance sheets, income statements, and cash flow statements.
• Liaison with Group for proper approvals per approved Delegation of Authority before processing payment (through handshake with PwC) and using UOBV online BIB.
• Regular updates to Group on the activities handled for the past week and the activities planned for the following week.
Additional Services
• IT Support: Provide basic technical support, troubleshooting, and maintenance of office equipment and software.
• Special Projects: Assist with ad-hoc projects, such as data analysis, research, and process improvement initiatives.
• Any other duties as assigned.

• 8-10 years of working experience, prior experience in real estate administrative role, preferably with supervisory experience.
• Knowledge of real estate laws and regulations.
• Good communication skills in both English and Vietnamese.
• Detail-oriented with high accuracy standards.
• Leadership and problem-solving abilities.
• Proficient in Microsoft Office Suite.
