POSITION SUMMARY
The Bidding Specialist is responsible for preparing and managing bid/tender documents for company projects, working closely with the Sales, Supply Chain, and Finance teams to deliver compliant and competitive bids on time.
KEY RESPONSIBILITIES
Bidding & Tendering
• Receive and review Invitation to Bid (ITB) / Request for Quotation (RFQ) documents from clients.
• Prepare bid checklist and coordinate the preparation of complete tender documents (technical proposal, commercial proposal, supporting documents).
• Coordinate with Finance to issue Bid Bond and Performance Bond on time.
• Send inquiries to suppliers, collect quotations, and calculate total cost (including freight, customs, VAT) to develop competitive pricing.
• Submit bids via online portals or hard copy in compliance with ITB requirements and deadlines.
• Handle bid clarifications (technical and commercial) from clients during evaluation.
Contract & Order Support
• Review key contract terms (payment, delivery, warranty, INCOTERMS) and flag risks before management signature.
• Hand over awarded contracts to Procurement, Logistics, and other internal teams for execution.
• Follow up on order progress, delivery, and payment milestones together with relevant departments.
Supplier & Database Management
• Maintain and update the supplier database (pricing, lead times, payment terms).
• Negotiate with suppliers to secure competitive pricing and favorable payment terms.
• Maintain bid records and project reference list for future tenders.
Reporting
• Prepare weekly bidding pipeline report and monthly bid result report.
• Other duties as assigned by Bidding Lead.

Education & Experience
• Bachelor's degree in International Trade, Foreign Trade, Business Administration, Engineering, or related fields.
• Minimum 2 years of experience in bidding, tendering, or sales support roles.
• Experience in oil & gas, marine, shipbuilding, or industrial equipment trading is an advantage.
• Familiar with bid bond, performance bond, and online bidding portals.
Language & Skills
• English: Good written and spoken English (sufficient to read ITB documents and communicate with overseas suppliers via email). Candidates will be tested with a sample ITB document during interview.
• Microsoft Office (especially Excel for cost calculation and Word for bid documents).
• Strong commercial sense: cost calculation, basic margin analysis.
• Detail-oriented and able to work under deadline pressure.
• Good communication and coordination skills.

• High level of confidentiality (bid pricing is highly sensitive information).
• Able to work independently and take pressure during peak bidding periods.
• Team player: ability to coordinate effectively with internal departments and overseas suppliers.
