Mô tả công việc
1. HR Preparation for new employees:
- Maintain the proper personnel profiles and necessary record for new employees (Induction test, Code of Conduct Agreement, Overtime Voluntary Agreement, Checklist for New Hires, etc.)
2. HR Paperwork:
- Update and maintain employee list and HR database.
- Prepare Employment Contract, Appendix and related documents.
- Prepare Salary Review/Promotion/ Transfer letters and record them in the employee profile properly.
- Coordinate with Division Managers to closely monitor the expiry date of probation contracts, definite contracts and coordinate with Division Managers to complete the probation appraisal, contract renewal appraisal at least 2 weeks before the contract expiry date.
- Support the employees in the medical claim process and sick leave claim with SI Department.
- Ensure all bonus letters for the employees are recorded properly.
3. Payroll:
- Prepare the monthly payroll by latest 25th of the month.
- Prepare PIT report, employees and dependents PIT code monthly, yearly.
- Implement staff's compensation and benefit according to company policies.
- Monitor sick leave, paid leave, annual leave as well as overtime hours.
- Send the monthly pay slips within 3 working days after the pay day.
- Complete the salary allocation reports and billing report to Finance by 28th monthly,
- Prepare HR data for annual salary review, 13th month salary, performance bonus and annual budgeting of personnel cost
4. SIHI, PIT, Labor, Trade Union reports:
- SIHI, PIT, labor, trade union reports are prepared and submitted to the authority in the timely manner.
- Register increasing and reducing headcount if any in monthly basic
- Closed SIHI book when the employee resign or is terminated from the company.
- Follow up and prepare documents for sickness, maternity allowance if any.
- Update and maintain SIHI book list, health insurance card list.
- Liaise with Gras Savoy to update all new comers in the medical insured list and remove the resigned employee from the insured list in the timely manner.
5. Exit arrangement for resigned/ terminated employees:
- Coordinate with Division Managers to make sure that the Notice of Unwarranted Absence Form must be completed by the Division Managers for employees absent from work in 5 consecutive working days in a month without prior notice and not resuming work after leave.
- Coordinating with the related divisions to make sure that all resigned employees have completed the handover report properly.
- Make sure all warehouse staff must return safety shoes, personal protective equipment before leaving the company, otherwise the compensation amount must be deducted from the final payment.
- Complete the exit documents (including final payment, terminate agreement, exit interview & handover sheet) for all resigned employees.
6. Admin support:
- Arrange Visa & Work permit for expats or visitor on time.
- Follow up health care claims procedure and support employees inquires
- Coordinate with Warehouse to provide temporary labor ontime
- Export time in and out report 2 times / month
- Administrate E-leave system

Yêu cầu
· University graduated.
· Sound knowledge of HR and Administrative skills.
· Minimum of 2 years working experience in a similar role.
· Experience in a multi-cultural, international environment.
· Fluent in English for smooth operation of business.
· PC-literacy: Advanced user of Microsoft Word, PowerPoint and Excel and other programs such as Lotus Notes and internet.
· Capability to organise events and people, planning and organisational skills.
· Multi-tasking with good ability to prioritise tasks, able to manage own working time effectively.
· Ability to work with deadlines
