POSITION SUMMARY
The GA & Personnel Leader will be responsible for providing effective general administration (GA) and personnel services for the company.
(1) The position performs various functions of GA management including office asset/ equipment/ facilities/ vehicle management, GA systems, policies and procedures, planning/ tracking/ analyzing budget, and other administrative tasks.
(2) The position performs personnel management and support for Site Office.
(3) The position assists in other areas of the plant as assigned.
PRIMARY RESPONSIBILITIES
Duties and responsibilities for this position include but are not limited to the following:
GA management
• Control company assets, equipment, and facilities including monthly inventory record/ report and yearly transfer or disposal of company assets.
• Maintain facilities and vehicles in good condition and operation, raise proposal for replacement if necessary.
• Design and implement GA systems, policies and procedures under discussion with other relevant departments.
• Plan annual budget, update costs database, analyze monthly expenditure, generate monthly budget report.
• Ensure the environment of the workplace healthy, safe, neat, clean and cooperative at all the time.
• Maintain all office legal and permit documents, dealing and liaising with related external parties.
• Facilitate foreign employees for the visa, work permits, and other requirements.
• Organize and implement various external or internal events including team building, year-end parties, and so on.
• Supervise day-to-day operations of HR & GA team and staff members including housing operations, meeting rooms/ transportation/ stationery/ pantry managements.
• Manage in-out document delivery and document control.
• Follow up implement and manage service contracts of security, housekeeping, and so on.
• Make announcements to the staff of the day-off schedules on holidays and Tet. Affix the company seal to the entrance prior to long holidays.
• Other GA tasks as assigned.
Personnel management and support
• Responsible for attendance sheet and leave management.
• Maintain and update the employee's information and profiles.
• Coordinate with IT persons to ensure HR software system and machines work well.
• Support necessary recruitment tasks such as arranging face-to-face interviews, receiving candidates, receiving new employees, etc.
• Support annual performance review for employees.
• Support HR auditing to vendors when required.
• Solve employees' queries about relevant matters within his/ her scope and forward Site employees' queries/ grievances to HR members in Hanoi Office when necessary.
• Support and coordinate with local authorities about issues relating to PIT, insurances, labor, ect.
• Coordinate with Site employees when required and support other HR tasks as assigned.

EDUCATION, EXPERIENCE AND GENERAL REQUIREMENTS
• BA in Business Administration, Economics, English and others.
• Minimum 8 years' experiences in general administration, HR/ personnel management or equivalent in the FDI working environment with at least 3 years in the supervisor's role.
• Familiarity with budget planning and enforcement.
• Good command of MS. Office, especially Excel.
• Good communication, interpersonal, and problem-solving skills.
• Proficient in using English for communication.
• Trustworthy, detailed, careful, and supportive.
• Available to work overtime and/or weekends if required.
•Available to work without detailed supervision.
