About Vio Travel

As we expand our group travel offerings, we are seeking a skilled Groups Specialist to manage and optimize group bookings across our destinations.
Role Overview
As a Groups Specialist, you will be responsible for handling and managing group travel bookings for international leisure agents. Your primary focus will be on crafting seamless, cost-effective, and engaging group travel experiences while ensuring exceptional client satisfaction. You will work closely with our regional Destination Experts and local teams to create, refine, and confirm group itineraries.
Key Responsibilities
Group Quoting & Itinerary Development
• Handle group quotes for international leisure agents into Vio Travel destinations.
• Prepare accurate and detailed cost sheets for all services in collaboration with the regional Destination Experts.
• Design customized trip plans suited for group travel, selecting appropriate hotels, tours, and meal options that align with client expectations and budget.
• Ensure trip plans are cost-effective and feasible while delivering a high-quality experience.
Client Communication & Proposal Management
• Create engaging presentations in the booking platform or using tools such as Word, Excel, and PowerPoint.
• Communicate effectively with clients, ensuring their needs are met and expectations exceeded.
• Make revisions and continuously refine itineraries until the client confirms the booking.
• Regularly follow up with agents to secure decisions on their requests.
Booking & Operational Coordination
• Once confirmed, ensure all services are booked as required, coordinating closely with the local Destination Experts.
• Oversee the seamless execution of group travel experiences, being available to support any issues or inquiries that arise during the travel process.
• Maintain clear documentation and organization of rates, templates, and presentations for efficient proposal development.

Qualifications & Experience
• A minimum of 5 years of experience in the tourism field is required (senior-level experience is preferred).
• Proven experience in handling leisure group travel of all sizes, including ad-hoc groups, special interest groups, and group series.
• Strong knowledge of destination management and group travel logistics within Asia.
• Excellent organizational skills with the ability to track rates, templates, and past proposals to improve efficiency.
• Ability to work independently while coordinating effectively with local teams.
• Strong client service skills and the ability to handle negotiations and revisions with travel agents.
• Proficiency in creating presentations and cost sheets using various digital tools.
• High level of attention to detail and ability to manage multiple projects simultaneously.
