1. About the Project
The Scaling Business Summit (SBS) is a premier international event gathering founders, business owners, and industry experts to explore entrepreneurship and business growth.
SBS 2026 will be hosted from Feb 2nd - 7th, 2026 with two distinct pillars:
Part I: The Summit Experience (Feb 2nd - 5th): A highly curated, intimate, "once-in-a-lifetime" retreat designed for key partners, VIP clients, and global thought leaders.
Part II: The Scaling Business Conference (Feb 6th - 7th): A large-scale, business-first conference focusing on scaling strategies, cross-border expansion, and tech-enabled transformation.
The Mission: We are not just organizing a conference; we are showcasing "The People of Vietnam"-creating real connections through real life experiences. We need a proactive Intern to help turn this ambitious vision into reality.
2. Key Responsibilities
We're looking for an Operation Event Intern to join our fast-paced, international team. This role focuses on operational execution, including event logistics, vendor management, contracts, paperwork, and financial coordination. You will serve as the main point of contact for external vendors and work closely with internal teams to ensure events run smoothly and efficiently.
You will work directly with the Event Manager and Core Team to support the end-to-end logistics and operation of the summit.
Pre-Event (Planning Phase):
Vendor Management: Assist in sourcing, contacting, and coordinating with local suppliers (venues, catering, transportation, printing, merchandise) to ensure quality and cost-efficiency.
Guest Experience Support: Handle communication with international attendees, assist with travel arrangements, accommodation bookings, and RSVP tracking.
Logistics Coordination: Support the planning of the "Summit Experience" tour (Part I), ensuring seamless movement of VIP guests between locations.
Admin & Documentation: Assist with contracts, paperwork, and translation of event documents (English - Vietnamese).
Sponsor Support: Assist the team in liaising with sponsors and potential partners by coordinating logistics, documentation, and timely follow-ups.
On-Site (Execution Phase - Feb 2026):
Event Operation: Act as a key on-site coordinator during the event days (Check-in, Stage assistance, Flow management).
Troubleshooting: Be the "go-to" person to handle ad-hoc issues and ensure guests have a smooth experience.
VIP Care: Support the needs of international speakers and VIP guests.
3. Requirements
Language: Advanced proficiency in English (Reading, Writing, and Speaking) is a MUST. You will communicate daily with international stakeholders and draft English documents.
Experience: Previous experience in organizing events (school clubs, NGOs, or part-time jobs) is highly preferred.
Skills: Strong organizational and time-management skills; High attention to detail (crucial for logistics); Ability to work under pressure and handle multiple tasks simultaneously; Proficiency in Google Workspace (Docs, Sheets, Slides).
Attitude: Proactive, "can-do" attitude, eager to learn, and passionate about creating impactful experiences.
