Mô tả công việc
Administrations
• Build and manage all administrative policies and procedures;
• Supervise the day-to-day work of the administrative function of the school office;
• Receive, secure and transfer incoming and outgoing dispatches and papers; manage documents, store the outgoing and incoming dispatches of the Company; implement and guide the departments the procedures of documents before submitting to the Board of Directors for approval;
• Welcome, provide hospitality and guide visitors to the school;
• Manage security rooms; function rooms and work facilities for teachers and staff; for the activities inside and outside the school under the direction of the Management Board;
• Lead and coordinate with relevant departments to ensure the necessary conditions for the organization of commemorative activities, events, conferences; in charge of ceremonies, celebrations and decorations for major activities of the Company;
• Ensure employees to comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection;
• Work with authorities when required, ensure all inspections go smoothly and in compliance with relevant regulations.
2. Facilities
• Monitor, inspect, supervise, check and takeover the maintenance of facilities, services according to the contract signed by the Company with the partners;
• Develop and implement plans for maintenance & repair of electricity, water, equipment, machinery & infrastructure in the Company;
• Consult and supervise contractors when having projects, works and items to be repaired;
• Propose items to be repaired or replaced to ensure safety as well as technical quality;
• Coordinate with the Accounting Department and other units to organize the annual inventory of the school's assets;
3. Procurement
• Annually build up purchasing plan and budget;
• Purchase & monitor stationery, uniforms, equipment to ensure working conditions, means of transportation to support the Company's activities and build the Company's image;
• Propose the procurement and repair of office equipment, teaching, learning and working facilities for the departments;
4. IT Support
• Undertake IT-based tasks;
• Manage all IT equipment, server, internet, TVs, projectors and ensure the stable connection and operation of these equipment;
• Propose and implement IT equipment purchasing upon different requirements of individuals/Departments;
5. Kitchen/Catering
• Check the licenses and procedures of the suppliers in accordance with the provisions of the Law;
• Liaise with suppliers to provide hygienic and nutritious meals according to standards;
• Check and supervise the processing process, the number of meals provided to the whole Company;
6. Bus Management
• Train and manage drivers and monitors, ensure the best service quality and bring satisfaction to parents and students;
• Build and maintain good relationship with parents and students;
7. Cleaning, Gardening
• Liaise with and choose qualified cleaning services to ensure a safe environment for health and professional image of the Company;
• Inspect and supervise the quality of cleaning services;
• Propose and recommend to suppliers when necessary to improve service quality.
• Monitor ongoing maintenance and development for all plants and greenscapes in school campus;
8. Security
• Manage and monitor security and order protection, fire prevention and fighting;
• Coordinate with local authorities in formulating and implementing plans to ensure security and order during holidays, Tet or big events;
• Protect Company assets and personal assets in the Company's territory;
• Guide, monitor guests and staff, teachers when entering and exiting the gate;
