Role

HR and Admin Executive

Responsibilities

Day-to-day HR and Admin activities.
Maintain and track KPI's.
Prepare monthly reports such as headcount report, leave report etc.
Provide support and input to the recruitment cycle, including processing applications, assessment and selection, induction of new staff, onboarding/offboarding, etc.
Collaborate with recruitment team to post job ads, screen candidates and handle website responses from candidates.
Coordinate candidate assessments, background checks, and reference checks.
Maintain accurate records in our applicant tracking system.
Upload of shortlisted profiles into required portals and track submissions
Arrange interviews for shortlisted candidates and ensure they join the calls.
Collection of all documents required for:
- Offer roll out.
- Employment pass applications
- Complete background verification checks
- Must be collected and processed in a timely manner
Maintain accurate and up-to-date records for all employees in our HR system.
Check and submit timesheets on time.
Maintain inventory of office supplies and order additional supplies as needed, responsible for leasing and office maintenance including repair activities, liaising with vendors and service providers.
Monitor and ensure compliance with relevant regulations, policies, and industry best practices (Human Resources & Administration).
Any other ad hoc projects/ duties assigned.

Requirements

Bachelor's degree / Diploma in human resources, business administration, or a related field.
Extensive experience (minimum 5 years) in HR management and administrative roles
Strong understanding of full HR spectrum including recruitment, training, and performance management.
Excellent organizational and time management skills.
Strong attention to detail.
Excellent written and verbal communication skills.
Ability to work independently and as part of a team.
Proactive problem solver with a positive attitude.
In-depth knowledge of Malaysian labour laws, immigration regulations, and taxation.
Proficiency in HR software systems and Microsoft Office Suite.
Firm knowledge of the local employment pass application processes
