JOB SCOPE & CORE DELIVERABLES
As the Office Administrator cum HR Assistant, you will ensure overall smooth and well operation of office on daily basic and support relevant tasks of HR department smoothly.
RESPONSIBILITIES - WHAT DOES SUCCESS LOOK LIKE?
Office administrative:
• Receptionist: Answer, screen & transfer incoming phone calls, welcome & escort visitors.
• Ensure day-to-day basic activities in the office will be operated smoothly, including office maintenance, office facilities, safety, cleanliness & security.
• Ensure the tracking of all office operations, including car rental tracking, power, taxi, etc.
• Fulfill office supply needs, inventory, purchasing.
• Maintain and manage vendors with efficiency.
• Support onboarding new employees in order to become fully integrated (including but not limited to: name badge, business card, working desk, welcome kit...) & offboarding process (access card, cabinet, stationary, taxi card...)
• Be a main contact to work with travel agents for air ticket booking for all departments.
• Be a main contact to work with service agent to support expats in arranging legal administrative documents: visa, work permit, temporary resident card.
• Support preparing contract and perform payment for all office expenses & HR expenses from creating vendor code, preparing PR/ PO, payment, good receipt notes and tracking budget.
Event organization:
• Involve in organizing employee engagement events including scheduled activities following to annual planning which is supervised by Line manager included but not limited of townhall meeting, year-end party, company trip, seasonal events, and ad-hoc events as per required.
TA assistant: Employer Branding & recruitment.
• Support in producing creative multimedia contents including video, graphics as per request.
• Support Talent Acquisition manager in recruitment administrative process as per request.

SKILLS & EXPERIENCE REQUIREMENTS
1. Requirements
- University degree in equivalent (Business Administration or Human Resource)
- Minimum 1 year experience in Office Administrator (preferred experience in MNCs or international organization)
- Experience in event organization is a plus
- Good in English communication
2. Skills
- Customer centric & care mindset, detail oriented.
- Be able to communicate, assist and help employees at different level in daily office operations
- Ability to adapt and work with internal and external stakeholders at all levels
- Be able to manage different suppliers /vendors
- Good project coordinator skills
- Social Media Knowledge & simple design is a plus (Canva)
- Knowledge of at least in one or several in HR is a plus
