Job Description
Administrative Support: Providing general administrative support such as managing correspondence, scheduling appointments, organizing meetings, and maintaining office records.
Office Management: Overseeing office operations and ensuring smooth functioning of facilities, supplies, equipment, and services. This includes managing office budgets, coordinating office maintenance, and implementing efficient office procedures.
Communication and Coordination: Acting as a point of contact for internal and external stakeholders, handling phone calls, emails, and inquiries, and facilitating effective communication within the office.
Document Management: Creating, editing, and organizing documents, reports, and presentations. This may involve maintaining electronic and physical filing systems, ensuring document confidentiality, and assisting with document distribution.
Event Planning and Coordination: Assisting with the planning and coordination of office events, meetings, conferences, and workshops. This may involve arranging logistics, coordinating with vendors, and preparing necessary materials.
Office Supplies and Inventory Management: Managing office supplies, ordering new supplies as needed, and maintaining inventory records. This includes ensuring adequate stock levels, tracking expenses, and optimizing cost-effectiveness.
Technology and Equipment Support: Providing technical support for office equipment, software, and systems. This may involve troubleshooting issues, liaising with IT support, and coordinating equipment maintenance or repairs.
Travel Arrangements: Assisting with travel bookings, itineraries, and expense reimbursements for employees traveling on business purposes.
Requirement
Bachelor's degree in business administration or a related field.
Organizational Skills: Office administrators need strong organizational skills to manage multiple tasks, prioritize responsibilities, and meet deadlines. They should be able to maintain an organized and efficient office environment
Communication Skills:
Excellent verbal and written communication skills are essential for effective interaction with colleagues, clients, and external contacts.
Be able to convey information clearly and professionally.
Strong technical skills to operate office equipment, manage inventory and handle basic IT/network issues.
Problem-Solving Abilities: Office administrators often encounter various challenges and must be adept at finding solutions. They should be proactive, resourceful, and able to think critically to resolve issues effectively.
Customer service orientation to provide a pleasing experience for patients and staff.
Multi-tasking and problem-solving abilities to handle interruptions and changing workloads/priorities.
Excellent organizational and time management skills to coordinate staff and adhere to schedules.
Ability to work independently as well as collaborate in a team environment.
Willingness to learn new skills through ongoing training. Flexibility for occasional overtime as required.
