Operation Manager

Position Summary
Operation Manager at Westlink International School is responsible for the effective and efficient management of all non-academic operational functions to support a safe, secure, and high-quality learning environment. This leadership role ensures that all operational areas-including general administration, health and safety, facilities, cleaning, transport, catering, security, and medical services-are aligned with the school's vision, mission, and IB values.
Key Responsibilities
1. General Operations
• Oversee day-to-day non-academic operations of the school, ensuring smooth functioning of support services.
• Develop, implement, and monitor operational policies, procedures, and workflows to ensure efficiency and compliance.
• Collaborate with academic leadership to align operational planning with educational needs and school events.
• Work with the finance team to plan budgets, control costs for operations.
• Oversee the school's IT infrastructure and digital operations.
• Coordinate with academic team to ensure classrooms, labs, and specialist areas are properly set up and equipped for teaching activities.
2. Health, Safety & Compliance
• Ensure the school complies with all local regulations, health and safety regulations and international best practices.
• Lead risk assessments and ensure the school has appropriate emergency preparedness plans in place (fire drills, lockdowns, etc.).
• Develop and implement health and safety training for staff and relevant stakeholders.
3. Facilities Management
• Manage the maintenance and improvement of all school buildings and grounds to ensure a safe and welcoming environment.
• Liaise with contractors and vendors for construction, renovation, and maintenance projects.
• Plan and monitor budgets related to facilities upkeep and development, including furniture, fixtures and fittings.
4. Cleaning Services
• Supervise the cleaning team (internal or outsourced) to maintain high standards of hygiene across all school areas.
• Establish cleaning schedules and protocols, especially for high-touch or sensitive areas.
• Ensure regular evaluation of service quality and address concerns proactively.
5. Transport
• Oversee the planning and safe execution of student transport services, including route optimization and safety compliance.
• Manage transportation staff and service providers.
• Communicate regularly with parents regarding transport arrangements, updates, and feedback.
6. Catering
• Ensure the provision of nutritious, high-quality meals that meet student needs and dietary restrictions.
• Monitor catering service contracts and ensure food safety and hygiene standards are met.
• Work with students and parents to gather feedback and adjust services accordingly.
7. Security
• Develop and implement school-wide security protocols in collaboration with security personnel.
• Oversee access control systems, surveillance, and incident response plans.
• Ensure regular staff training on emergency response procedures.
8. School Nurses and Medical Services
• Supervise the school nursing team and ensure high standards of care for student and staff health needs.
• Oversee medical records management, routine health screenings, and immunization documentation.
• Ensure effective response to illnesses, injuries, and medical emergencies in alignment with policies.
