I. JOB PURPOSE
The Job Holder is responsible for supporting the execution of two key initiatives: the New Year Items 2026 project and various Corporate Social Responsibility (CSR) programs. Additionally, the role provides operational and administrative support for other tasks assigned by both the Corporate Branding Department and the CSR Department.
II. PRINCIPAL ACCOUNTABILITIES
Project Administration & Production Support
End-to-End Production Support: Participate actively in the complete lifecycle of producing corporate New Year items (including calendars, notebooks, and other collaterals), ensuring administrative tasks such as office supply coordination and storage management run efficiently.
Financial Administration: Consolidate, verify, and reconcile booking requests and internal payment records submitted by internal departments, the sales force, and staff members to ensure financial accuracy.
Timeline Management: Monitor and track project timelines closely from initiation to project closing, proactively flagging potential delays to project leads.
Inventory, Database & Logistics Management
Database Maintenance: Prepare, update, and maintain a comprehensive allocation and distribution database to preserve data integrity and prevent order discrepancies.
Stock & Delivery Tracking: Monitor real-time item allocations, inventory availability, and courier delivery statuses to ensure smooth order fulfillment.
Cross-Functional Collaboration
Production Coordination: Coordinate closely with internal stakeholders, including the
Purchasing and Finance departments, to facilitate a smooth procurement process and timely vendor payments.
Distribution Coordination: Partner with external vendors (such as the Post Office) and Field Office Staff (including
Sales Executives) to ensure accurate, timely, and seamless final delivery to all recipients.
CSR Event Execution & Field Operations
Event Planning & Deployment: Support the end-to-end planning, preparation, and active implementation of all CSR initiatives and community programs.
On-Site Coordination: Undertake domestic business travel to project locations and field sites to manage on-site logistics, coordinate activities, and ensure successful event delivery.
General & Ad-Hoc Support
Departmental Flexibility: Fulfill additional tasks and ad-hoc assignments as requested by the CSR Manager and/or the Branding & Marketing (B&M) Director to support the fluid operational needs of both departments.
Final-year student or fresh graduate in Business Administration, Supply Chain, Logistics, Operations Management, Marketing or related fields.
Strong Excel skills.
Detail-oriented with good data management capability.
Good communication and coordination skills.
