DUTIES and RESPONSIBILITIES:
Answering telephone and responding to caller inquiries in a pleasant manner.
Answering client/ bookers questions about property facilities/services (e.g., hours of operation,
rates and room types, packages, promotions, entertainment, restaurants etc.)
Serving as the point of contact for clients, communicating with them by phone, and emailing to
respond to questions and requests.
Generating reports, preparing proposals, collecting details, coordinating with clients & suppliers.
Preparing sales-related documents throughout the sales process (e.g., proposals, contracts,
banquet event orders, Company volume guaranteed rate Letter).
Gathering materials and assembling information packages (e.g. brochures, promotional
materials, sales demo kit, welcome kit, souvenir, etc.).
Generating group and/or corporating leads through internet prospecting, networking, and
telemarketing.
Managing and maintaining
Sales Manager's working schedules, appointments, and travel
arrangements.
Assisting sales team by managing schedules, filing important documents, and communicating
relevant information.
Arranging and coordinating meetings, events, and any appointments.
Recording, transcribing, and distributing minutes of meetings
Interacting with the client in regards to leads, hotel needs, and client travel.
Meeting with clients in the absence of the Sales Managers to effectively and professionally
convey details of the sale to the client.
Performing hotel site tours with potential clients.
Monitoring, screening, responding to, and distributing incoming communications.
Managing customer databases: designing, uploading, extracting and maintaining them.
Creating and managing Company and Travel Agent profiles on the property management
system.
Loading and managing rate codes to the Hotel Software, and linking the negotiated rates to the
correct company profiles.
Printing Daily Sales reports for Sales Manager.
Making files, retrieving documents, and reference materials.
Conducting research and collecting data to prepare reports and documents.
Utilizing efficient sales strategy for the maximization of hotel revenue.
Coordinating necessary arrangements with vendors relating to sales.
Ensuring all documents produced by the Sales Department (i.e. BEO's, contracts, rooming lists,
proposals) are completed accurately and on time.
Responding to complaints from customers and giving after-sales support when requested.
Ensuring the adequacy of sales-related equipment or material are available at all times.
Other duties as assigned by Line Manager.
At least Bachelor degree in Business Administrative.
Familiarity and knowledge of all departments within the hotel.
Outstanding verbal and written communication in both Vietnamese and English.
Good working knowledge of applicant of Microsoft software, SMILE software.
At least 3 years of experience in a similar position in the travel industry.
Proven experience in sales; experience as a sales coordinator or in other administrative positions will be considered a plus.
Customer service-oriented.
Well-organized and responsible with an aptitude for problem-solving.
A team player with a high level of dedication.
Willing to travel.
