Summary:
The Senior Operations Officer is responsible for the efficient day-to-day running of the acting academy, ensuring smooth course delivery, supporting B2B programs, and providing excellent customer service. This role requires strong organizational and communication skills, attention to detail, and a proactive approach. This role has pathway to be promoted to Operations Manager in 6 month, if candidate can prove themselves to lead and manage Sales Admission for Kids Acting Program B2C and B2B.
Key Responsibilities:
Course Operations:
• Scheduling and Logistics: Manage course calendars, schedule classes, workshops, and events, ensuring optimal use of resources and facilities.
• Enrollment Support: Oversee student enrollment processes, including registration, onboarding, and maintaining accurate student records.
• Facility Management: Ensure the academy facilities are well-maintained, clean, equipped, and conducive to learning.
• Customer service: Provide outstanding customer service to students, parents, and visitors, addressing inquiries and resolving issues promptly and effectively.
B2B Program Support:
• Program Coordination: Liaise with international schools to coordinate program delivery, scheduling, and logistics, ensuring smooth implementation.
• Teacher Support: Provide operational support to teachers delivering programs in schools, including material preparation, communication, and addressing logistical needs.
• Client Relationship Management: Build and maintain strong relationships with school administrators and staff, ensuring satisfaction and repeat business.
General Operations:
• Procurement: Procure and manage learning materials, equipment, and supplies, ensuring cost-effectiveness and availability.
• Administrative Support: Provide administrative support to the Academy Manager, including data entry, record keeping, and preparing reports.
• Document Preparation: Assist with the preparation of documents, reports, and presentations as required.
• Process Improvement: Identify opportunities to improve operational efficiency and effectiveness, streamlining processes where possible.
• Health and Safety: Ensure compliance with health and safety regulations, maintaining a safe learning environment for all.
• IT Support: Work with the IT team to provide IT support to staff and students, troubleshooting minor technical issues.
• Event Support: Assist with the planning and execution of academy events, such as open houses, student showcases, and workshops.
• Other duties as assigned: Perform other administrative tasks as assigned by the Director of Business Operations or CEO.

Qualifications and Experience:
• Bachelor's degree in Business Administration, Education, or a related field.
• Proven experience in an operations role, preferably in an educational setting, kids vocational school.
• Excellent organizational and time management skills.
• Strong interpersonal and communication skills (written and verbal).
• Proficiency in English and Vietnamese.
• Proficient in Microsoft Office Suite or similar software
• Bachelor's degree in Business Administration, Education, or a related field.
• Proven experience in an operations role, preferably in an educational setting, kids vocational school.
