We are looking for a Service & Tender Assistant to support both service operations and tender/bidding activities. This role is responsible for coordinating service orders, preparing documentation, and supporting the preparation of tender submissions.
1. Job Description
First role: Service & Project Support (50%)/ Hỗ trợ Dịch vụ & Dự án
• Prepare service/project documents and create service orders in the system/ Chuẩn bị chứng từ cho các đơn hàng dịch vụ/dự án và tạo đơn hàng trên hệ thống.
• Coordinate
purchasing requests, quotations, and vendor communication/ Phối hợp với các bộ phận liên quan để thực hiện yêu cầu mua hàng, xin báo giá và làm việc với nhà cung cấp.
• Monitor service job progress and coordinate engineers for service activities or projects/ Theo dõi tiến độ các công việc dịch vụ và điều phối kỹ sư cho các công việc/dự án.
• Collect documents from vendors, engineers, and related departments to complete service acceptance/ Thu thập chứng từ từ vendor, kỹ sư và các phòng ban liên quan để hoàn tất nghiệm thu dịch vụ.
• Support invoice preparation, send documents to customers, and follow up on payment status/ Hỗ trợ chuẩn bị hóa đơn, gửi chứng từ cho khách hàng và theo dõi tiến độ thanh toán.
• Monitor service job costs and support departmental reports (OI, ST, GP)/ Theo dõi chi phí của các công việc dịch vụ và hỗ trợ lập các báo cáo của phòng ban (OI, ST, GP).
• Second roles: Tender / Bidding Support (50%)/ Hỗ trợ Hồ sơ Thầu
• Assist in preparing tender and bidding documents according to customer requirements/ Hỗ trợ chuẩn bị hồ sơ thầu theo yêu cầu của khách hàng.
• Coordinate with sales, technical, and service teams to collect technical and commercial information for bid submission/ Phối hợp với các bộ phận kinh doanh, kỹ thuật và dịch vụ để thu thập thông tin kỹ thuật và thương mại cho hồ sơ dự thầu.
• Ensure tender documentation is complete and submitted on time/ Đảm bảo hồ sơ thầu được chuẩn bị đầy đủ và nộp đúng thời hạn.
• Maintain and organize tender records and documentation/ Lưu trữ và quản lý các tài liệu liên quan đến hồ sơ thầu.
2. Requirements/ Yêu cầu
• Bachelor's degree in Engineering, Business Administration, Economics, International Business, Industrial Management, or related fields/ Tốt nghiệp Đại học các chuyên ngành Kỹ thuật, Quản trị Kinh doanh, Kinh tế, Kinh doanh quốc tế,
Quản lý công nghiệp hoặc các ngành liên quan.
• Candidates with a technical background (engineering) are preferred/ Ưu tiên ứng viên có nền tảng kỹ thuật (engineering).
• 1-3 years of experience in positions such as Service Coordinator, Sales Admin, Project Assistant, Tender/Bidding Assistant, or Procurement Admin/ Có 1-3 năm kinh nghiệm ở các vị trí như: Service Coordinator, Sales Admin, Project Assistant, Tender/Bidding Assistant hoặc Procurement Admin.
• Fresh graduates with strong organizational and documentation skills may also be considered/ Sinh viên mới tốt nghiệp có kỹ năng tổ chức và xử lý chứng từ tốt vẫn có thể được xem xét.
• Good command of English (reading and writing for work communication, 650 TOEIC)/ Có khả năng đọc hiểu và viết email tiếng Anh trong công việc.
• Detail-oriented with strong coordination and multitasking skills/ Cẩn thận, có khả năng phối hợp công việc và theo dõi nhiều đầu việc cùng lúc.
• Experience working with ERP systems (e.g., SAP, Workday, Ariba) is a plus/ Có kinh nghiệm sử dụng hệ thống ERP (SAP, Workday, Ariba...) là một lợi thế.
