B2B Event & Client Support
Inquiry Management:Act as the first point of contact for incoming business inquiries; provide prompt, professional support regarding event space and meeting room rentals across all inbound channels (Social Media, Website/SEO, and direct referrals).
Site Inspections:Schedule and lead venue walkthroughs with potential clients, showcasing The Sentry's spaces and explaining setup capabilities.
Proposal & Vendor Coordination:Gather client requirements to help customize event proposals, generate accurate quotations, and coordinate with external vendors (catering, AV, decor) to meet client needs.
Cross-Departmental Collaboration:Work closely with internal teams-including Marketing,
Purchasing, Accounting, IT, and the Community team-to ensure all operational boxes are checked before event day.
Partner Relations:Arrange, schedule, and maintain meeting logs with both local and international partners, ensuring seamless communication.
Support Internal Event Operations
Signature Event Assistance:Play an active role in the end-to-end execution of The Sentry's signature internal events and community programs (e.g., Tech59, Vietnam Venture).
Logistics & Setup:Assist with pre-event logistics, venue decoration, technical setups, and inventory tracking.
Guest Relations:Manage guest lists, handle invitations/RSVPs, and assist with registration desks to ensure a smooth check-in experience.
Day-of Execution:Provide vital on-site support during live events, troubleshooting minor issues and keeping activities running on schedule.
Administrative Work
Team Operations:Handle administrative tracking for the event team, including the coordination of monthly timesheets and team calendars.
Reporting:Compile data to prepare insightful weekly and monthly event performance reports for review.
Documentation:Draft, organize, and systematically archive event contracts, vendor agreements, invoices, and post-event feedback forms.
Other Duties
Ad-Hoc Responsibilities:Perform additional administrative, creative, or operational tasks as assigned by the Event Manager and the Board of Directors (BOD) to support the company's evolving needs.
Timeline & Commitment:Must be available to start in June 2026 and commit to the 6-month internship program.
Education:Recent graduate or currently enrolled in a Bachelor's degree program (Hospitality, Event Management, Business, Communications, or related fields preferred).
Languages:Excellent verbal and written communication skills in English and Vietnamese (essential for dealing with international partners and local vendors).
Mindset:A strong "can-do" attitude, highly proactive, detail-oriented, and comfortable working in a fast-paced environment.
Experience:Prior experience organizing events, clubs, or activities at the university level is a strong plus.
