Position Summary:
The Accounting Coordinator will support the Finance and Accounts team based in Melbourne, Australia. This role provides general financial and administrative support across the Finance team. This role ensures accurate processing of accounts, maintenance of financial records, and efficient coordination of finance-related tasks.
Duties and Responsibilities:
Billings
• Prepares and issues accurate invoices to customers on a timely basis.
• Communicates with customers to resolve billing questions, disputes, or payment issues promptly.
• Coordinates effectively with internal stakeholders to ensure accurate and efficient billing.
• Maintains up-to-date billing records and ensures all financial documents are properly organized and stored.
• Prepares basic financial reports or data extracts as required.
• Processes direct cost invoices accurately and in a timely manner.
• Ensure compliance with company policies, tax regulations, and billing standards.
Accounts Payable
• Supports certain Accounts Payable functions and acts as backup as needed.
General Administrative Support
• Maintain invoicing preferences, other billings related data.
• Support internal and external audit requirements by preparing relevant documents.
• Coordinate finance inbox enquiries and redirect appropriate team members.
• Perform other ad hoc & admin tasks as required by management.
• Assist in month-end closing activities related to billing and revenue recognition.
Process Improvement & Collaboration
• Suggest and support improvements to finance processes and workflows.
• Assist with implementation of new finance systems or automation initiatives.

Required Skills and Abilities:
Essential
• Prior experience in a billing or administrative support role.
• Understanding of basic accounting principles.
• Strong organisational and data-entry skills.
• Proficient in MS Office (especially Excel).
• High accuracy and attention to detail.
• Ability to prioritise and manage multiple tasks.
• Effective external and internal communication.
Desirable
• Experience in logistics, transport, or freight forwarding sector.
• Exposure to ERP/finance systems (Workday / CW1)
• Exposure to AI/Analytics in finance and accounting
Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer.
