Accounts Receivable/ Customer Service

We are seeking a Business-to-Business Accounts Receivable Clerk. The person will work from the Vietnam office but will work for the Lavergne head quarters located in Montreal, Canada. Under the account receivable/payable supervisor, the Accounts Receivable Clerk will have the following responsibilities. They correctly bill clients for goods sold. They work with the sales and R&D departments to verify and record transactions and resolve account discrepancies. They also collect the correct amounts from their customers on time by providing the necessary support throughout those processes.
Responsibilities
Customer Service and Orders
• Open new customer accounts
• Ensure the follow-up of the order process in the ERP system
• Perform order entry in the ERP system upon receipt of the PO
• Validate credit approval for production
• Confirm, after approval, the delivery date to the customer
• Assemble the necessary documents for invoicing
Follow up on Accounts Receivable
• Invoice all deliveries received at the customer's premises and send the COO (Certificates of Origin) and COA (Certificate of Authenticity)
• Make photocopies and record cheques received
• Ensure that all deposits are recorded in the general ledger
• Reconcile the accounts receivable subsidiary
• Ensure the follow-up of accounts receivable according to the terms (credit limit and payment) of the customers
• Follow up on accounts in arrears (telephone, email, registered letter)
• Follow up on credit notes to be issued and obtain the necessary approvals before proceeding with the credit
• Ensure that all invoices are recorded in the auxiliary during month end
• Reconcile inventory when shipments are made
