Mô tả công việc
I. General Administration Support
- Government Documents Applications: ensure all government-related (non-accounting/finance) documents (e.g. work permits, visas for expatriates, travel visas, company registration, letter of consent, etc.) are properly prepared and applied in a timely manner.
- Transportation Support:
+ arranging transportation (e.g. company cars, trains/airline reservations, etc) for visitors and employees to provide them with safe and timely transportation.
+ ensuring the company vehicles are well-maintained and licenses are renewed on time to prevent service interruption.
- Visitor Arrangement: arranging accommodation and food for visitors where necessary.
- Refreshment Support: providing refreshments to guests and employees and maintaining an adequate inventory of refreshments.
- Gardening Support: maintain the garden environment in compliance with - Factory requirements to ensure a high-quality garden (applicable to factories with gardens).
- Office Supplies: maintaining adequate inventory of office supplies (e.g. paper, stationeries, printers... etc.).
- Office Renovation: lead renovation projects in office areas with assistance from the Facilities team and/or outside contractors.
II. Compliance Audits
- Internal Compliance Audits:
+ Lead the Compliance team to conduct internal compliance audits to ensure compliance with relevant labor laws, company guidelines, and customer codes of conduct.
+ Request corrective actions from non-compliant functions as needed.
+ Monitor the corrective actions to ensure compliance is achieved.
- External Compliance Audits:
+ Be the key contact person for customer and other external compliance audits.
+ Hold IEs accountable for gathering relevant documents for external audits.
+ Provide relevant data to the Compliance team in preparation for external compliance audits.
+ Handle external compliance audits and follows up with relevant department on their corrective actions as needed.
III. Procurement: having experience in procurement is preferable.
IV. Secure and Hygienic Environment:
- Factory Security: implementing security systems (e.g. physical security, access control, CCTV systems, etc.) in compliance with Factory and local legal requirements. Personally establish and maintain relationships with local police officers to ensure their support and obtain information on issues that may threaten the safety of the Factory's employees.
- Factory Hygiene:
+ Develop and maintain hygiene systems (e.g. cleaner arrangement, hygiene awareness programs, etc.) and standards in compliance with Factory requirements to ensure the hygiene and cleanliness of the Factory.
+ Managing the Factory clinic (where applicable) to ensure the physical well-being of all Factory employees (including staff and operators)

Yêu cầu công việc
- Bachelor's degree or above.
- 5+ years of experience as progressive experience in Admin
- Management in a multinational/ manufacturing/ garment company.
- Solid track record in Admin within a minimum of 8 years of relevant experience gained in a multinational company
- Must be well versed in employment and regulations of Vietnam
- Proactive, well-organized, and detail-oriented, with the ability to handle multiple tasks and with a high standard of integrity and a strong sense of responsibility
- Ability to communicate effectively with boss and colleagues
- High proficiency in Microsoft applications
- Native Vietnamese speaker with proficient use of both spoken and written English
