We are seeking a dedicated and personable Admissions and Parent Relations Officer to join our team, with a primary focus on teleconsultation to engage prospective families and promote school visits. The role also involves managing the front desk, providing a professional and welcoming experience for all visitors.
Role Overview
We are seeking a proactive, personable, and service-oriented individual to join our team as an Admissions & Parent Relations Officer. This role is primarily focused on supporting key admissions functions (80%) and delivering excellent parent relations (20%). You will be the first point of contact for visiting families and incoming enquiries - ensuring all interactions reflect BCVN's high standards of professionalism, warmth, and responsiveness.
Key Responsibilities
1. Admissions Support (80%)
- Act as the primary point of contact for prospective parents, responding promptly and professionally to enquiries via telephone, email, social media and in person.
- Guide families through the admissions process, providing accurate and timely information regarding programmes, curriculum, fees, entry requirements and school policies.
- Manage the admissions pipeline from enquiry to enrolment
- Schedule and coordinate school tours, admission events, assessments...
- Follow up with prospective families to maintain engagement and support conversion.
- Maintain accurate records in CRM and internal tracking systems; update enquiries, applications, assessments, offers, enrolments and withdrawals; prepare pipeline reports and conversion updates for management.
2. Customer Care & Client Service (20%)
- Provide a warm, professional welcome for visiting families and guests; support front desk operations, general calls and visitor direction when required.
- Respond to general parent enquiries and route more complex academic, pastoral or operational matters to the appropriate team, following up where needed.
- Handle sensitive situations with discretion, empathy and professionalism, and share recurring feedback or service improvement points with Admissions leadership.

Yêu cầu
- Strong interpersonal and communication skills, with confidence engaging families in person, by phone and via email.
- Strong written and spoken Vietnamese and English; advanced English proficiency equivalent to IELTS 7.0 or above is preferred.
- Organised, detail-oriented and able to manage multiple enquiries, documents, deadlines and follow-up actions accurately.
- Proactive, service-minded and solution-oriented, with the ability to follow through on tasks and coordinate effectively across departments.
- Able to handle family information and admissions cases with discretion and confidentiality.
- Comfortable using CRM systems, spreadsheets, email platforms and reporting tools.
- Previous study experience in international programmes in Vietnam or overseas, or previous experience in education, admissions, consulting, sales consultation, customer-facing advisory roles, marketing is an advantage.
- A calm, warm and professional team member who can represent BCVN well and work effectively in a fast-paced school environment, especially during peak admissions and enrolment periods.
