Mô tả công việc
1. Responsible for Admin work
• Coordinating and providing an oversight of a wide variety of administrative tasks from front-desk activities to cross-functional support between functional areas.
• Handling daily purchase requisitions and purchase - to - pay function. Taking responsibilities on new purchase or liquidation
• Maintaining an accurate filing and data tracking. Ensured maintenance of records meet policies, procedures, and guidelines.
• Arranging daily mail courier, cargo lift registration, flight ticket, hotel accommodation and visa; booking other transportation, arranging lodging and meeting accommodations for employees.
• Checking all invoices for appropriate documentation and approval prior to payment (stationery, mailing, taxi, bike parking...).
• Proceeding payment claim for travel, transportation, meals with guests/visitors. Ensure the payments are timely paid.
• Assisting in organizing and coordinating company events such as Company's anniversary, Team Building, Year-end Party, Workshop, etc.
• Ordering the office supplies and maintaining facilities spending within the approved budget.
• Maintaining adequate F&B supplies in the pantry.
• Assuring all the contracts/agreements are signed timely and renewing on time.
• Preparing report (occasionally/monthly/quarterly/yearly).
• Performing any other ad-hoc duties assigned by the People Leader.
2. Responsible for Property and Office Management
• Arranging for maintenance schedule and overseeing the maintenance to ensure the office is being kept in a smooth operation.
• Maintaining a clean office to provide safety and well being workplace.
• Assuring the tidiness of the reception counter and conference/meeting rooms.
• Arranging regular/occassional sterilization services and remedial work when required.
• Conducting daily and periodically office health check inspections and maintain an adequate inventory of office supplies.
• Promptly handling any issues regarding maintenance or service requests and having quick support actions or solutions, passing along urgent matter to the Leader, when appropriate.
• Ensuring the filing records meet policies, procedures, and guidelines.
• Producing Property & Office Admin Standard of Process when required.
• Providing responsiveness, and creativity in finding solutions.
• Working continuously to improve processes, systems, and overall employees' satisfaction.

Yêu cầu
• Bachelor's Degree (preferred in Business Administration, English literature)
• Above 3 years of experience; Knowledge of Property management and Admin Management
• Skills: Asset management, Property management, Filing, Individual work and Teamwork, Problem solving, Time management, Communication, Negotiation skills, MS Office (Word, Excel, PowerPoint...)
• Open-minded, Thoughtful and detail-oriented, Well-organised, Can-do attitude
• English proficiency both in verbal and writing.
• Above 3 years of experience; Knowledge of Property management and Admin Management
• Skills: Asset management, Property management, Filing, Individual work and Teamwork, Problem solving, Time management, Communication, Negotiation skills, MS Office (Word, Excel, PowerPoint...)
• Open-minded, Thoughtful and detail-oriented, Well-organised, Can-do attitude
