Key Accountabilities:
1. Time Allocation Excellence
Meticulously organize the Managing Director's calendar, prioritizing high-impact activities in alignment with committed results/KPIs.
Proactively seek clarification from the Managing Director when uncertainties arise regarding task handling, ensuring alignment with priorities.
Vigilantly monitor the calendar for any misalignment in priorities or time allocation principles, promptly addressing and resolving issues.
Ensure seamless logistical arrangements for all meetings, appointments, and events well in advance.
Establish and maintain a robust system to track post-meeting actions for the Managing Director, scheduling time for necessary follow-ups.
Handle all requests from the Managing Director promptly and efficiently within agreed-upon time-frames, ensuring no tasks are overlooked or mishandled.
Space of Optimizing for Efficiency:
Continuously identify opportunities to enhance efficiency and productivity, seeking ways to streamline processes and tasks to maximize the Managing Director's time.
Spearhead digital transformation initiatives, exploring avenues for automation to improve workflow efficiency.
Key Requirements:
2. Calendar Management
Proficient in Microsoft Outlook Calendar with meticulous attention to detail.
Demonstrated commitment to optimizing efficiency and generating initiatives that drive performance improvements.
Strong organizational skills, with a proven track record of managing priorities and leading teams/projects to successful outcomes.
Exceptional logistical coordination abilities, including scheduling meetings, coordinating travel arrangements, and managing stakeholders across departments.
Value-Added Conversations and Optimizing for Efficiency:
3. Reports
Handling all Daily/weekly and monthly reports.
Proficiency in data analysis and project management.
Ability to identify and address inefficiencies effectively, contributing to enhanced productivity.
Excellent communication skills, with experience conducting impact one-on-one conversations with senior executives.
4. Verification and Document Management
Verify and cross-check payment requests, purchase orders, and other documents received from departments reporting to the Managing Director.
Ensure accuracy and compliance with company policies and procedures.
Coordinate with relevant departments to resolve any discrepancies or issues promptly.
Provide regular updates to the Managing Director regarding the status of document verification and management tasks.
Uphold confidentiality and integrity in handling sensitive information and documents.
Candidates should demonstrate strong attention to detail, organizational skills, and the ability to prioritize tasks effectively in a fast-paced environment.
Yêu cầu
Minimum of 3 years' experience in Executive Assistant or Project Assistant roles, preferably in multinational companies.
Coachable and inquisitive mindset, adept at seeking clarity through questioning. Candidates are encouraged to prepare three questions for the Managing Director during the interview process.
High level of compliance and adaptability to routine work, with comfort in desk-based roles.
Openness to feedback and constructive criticism, willing to take necessary actions to achieve desired results.
English 4 skills at advanced level (speaking-listening-reading-writing).
