Main Scope: Color Lab operation, workflow, documentation, SOP compliance, and job control
Exclusion: This position is not responsible for technical color formulation, color matching decisions, finishing chemistry, or technician duties.
1. JOB PURPOSE
The Color Lab Supervisor is responsible for the daily operational control of the Color Lab, ensuring every job is properly received, registered, prioritized, processed, documented, approved, and released according to the established SOP.
The role focuses on Job In → Process Control → Approval Coordination → Job Out, including workload planning, document control, sample/panel traceability, housekeeping, and team discipline.
2. KEY RESPONSIBILITIES
A. JOB-IN CONTROL
Receive all Color Lab requests from Development, Production, QC, Technical, Sample Workshop, and other authorized departments.
Ensure every request has complete information before entering the Color Lab.
Register each job into the Color Lab tracking system/log.
Assign a unique job/reference number where required.
Verify availability of:
Item / product information
Customer
Factory / production location
Finish code
Substrate/material
Master color panel or approved reference
Required completion date
Requestor/owner
Reject or return incomplete requests for clarification.
Control physical samples, master panels, and documents received with each job.
B. JOB PRIORITY & WORKLOAD CONTROL
Maintain the daily Color Lab job list.
Prioritize jobs according to agreed development/production requirements.
Assign jobs to the appropriate Color Lab team member according to workload.
Set and follow target completion dates.
Conduct daily review of:
New jobs
Work in progress
Overdue jobs
Jobs waiting for information
Jobs waiting for approval
Escalate overdue or blocked jobs to the responsible department/manager.
Ensure urgent requests are properly authorized and do not disrupt normal workflow without approval.
C. PROCESS & SOP COMPLIANCE
Ensure all Color Lab jobs follow the approved workflow and SOP.
Check that required process steps are completed and recorded.
Ensure operators/technicians do not skip required process stages.
Ensure correct identification and labeling are maintained throughout the process.
Monitor compliance with:
Job registration
Sample identification
Panel labeling
Process record
Approval status
Retention/sample storage
Job closure
Report any deviation from SOP and follow up on corrective action.
Maintain discipline and consistency in Color Lab operational procedures.
D. SAMPLE & COLOR PANEL ADMINISTRATION
Control all incoming and outgoing color panels.
Ensure every panel has correct and complete identification.
Maintain traceability between:
Request → Job Number → Sample/Panel → Approval → Final Release
Ensure approved master panels are properly signed, dated, coded, and recorded.
Control duplicate/reference panels where required.
Ensure superseded or rejected panels are clearly identified and separated.
Prevent unauthorized use of obsolete or unapproved panels.
Coordinate transfer of approved master panels to the designated Color Library.
E. APPROVAL COORDINATION
Track samples/panels submitted for internal or customer approval.
Maintain clear status:
In progress
Pending review
Pending approval
Approved
Rejected
Rework required
Closed
Follow up with responsible departments for pending approvals.
Ensure approval evidence is properly documented before releasing a job.
Ensure no unapproved panel is treated as an approved production standard.
F. JOB-OUT & CLOSURE CONTROL
Before closing any Color Lab job, verify that:
Required sample/panel has been completed.
Required approval has been obtained.
Final panel is correctly labeled.
Relevant records are complete.
Approved standard has been transferred to the correct owner/location.
Required information has been communicated to the requestor.
Job status has been updated to Closed/Completed.
Maintain a complete record of closed jobs for future traceability.
3. DAILY COLOR LAB MANAGEMENT
Conduct daily job review with the Color Lab team.
Monitor attendance, manpower allocation, and workload.
Maintain an organized and clean working environment.
Ensure samples, panels, documents, tools, and working areas are properly arranged.
Ensure FIFO/priority rules are followed.
Monitor job lead time and department response time.
Coordinate with related departments to prevent delays caused by missing information or approval.
Prepare daily/weekly status reports for management.
4. DOCUMENT & DATA CONTROL
Maintain accurate Color Lab records, including:
Job request log
Job In/Out tracking
Color panel register
Approval records
Master panel records
Rejected/rework records
Pending job list
Overdue job list
SOP/checklist records
Color Library handover records
Ensure records are updated in real time and can be easily traced during audits or production investigations.
5. TEAM SUPERVISION
Assign daily operational tasks.
Ensure team members understand job priorities and SOP requirements.
Train team members on:
Color Lab workflow
Job registration
Documentation
Labeling
Panel handling
Traceability
Housekeeping
SOP compliance
Monitor discipline and work performance.
Identify operational training needs and report them to the department manager.
6. OUT OF SCOPE - TECHNICAL RESPONSIBILITIES
The Color Lab Supervisor is not the technical authority for color or finishing.
The following responsibilities belong to the Color Technician / Finishing Technician / Technical Specialist, as applicable:
Color formulation and recipe development
Technical color matching decisions
Selection or modification of finishing chemicals
Stain/topcoat/sealer formulation
Chemical mixing ratio development
Spray parameter development
Technical troubleshooting of finishing defects
Technical evaluation of coating performance
Approval of technical finishing processes
Development of new finishing systems
The Supervisor may coordinate, track, document, and ensure completion of these activities but does not replace the responsible technician.
