Job Description
At Aperia, we rely on a dynamic team of Human Resources personnel to support our ever-evolving employee population. We're seeking a Receptionist cum Administrator who is responsible for managing the reception area, providing administrative support to executives, and assisting with various HR-related tasks. The ideal candidate has experience in serving as the first point of contact for visitors and employees, ensuring a professional, welcoming atmosphere as well as providing executive support and assisting the HR department in areas such as employee onboarding, indirect procurement for office stationery, organizing company events.
Core Responsibilities
Reception
Greet visitors and provide a warm and professional welcome, ensuring a positive first impression.
Answer and screen phone calls, taking messages and directing calls to the appropriate person.
Maintain a clean, organized, and inviting reception area.
Coordinate the pick-up and delivery of express mail services from Employee's personal healthcare insurance, Social Insurance, etc.
Maintain office security by following safety procedures and controlling access.
Work with building management for any support needed relating to the office building.
Play as an internal and external contact point for office matters.
Manage other office administrative activities: office lease/renovation, purchase, etc.
Monitor the use of equipment and facilities, ensuring that they are well-maintained and repaired/replaced on schedule.
Administration
Work with bank in supporting creating employee's salary banking account.
Work with travel agencies and support expat about expat's paperwork (work permit, TRC, etc).
Fulfill office supply needs: stationery and pantry.
Be a contact point person for purchasing from vendors, including tasks searching for suitable vendors, collecting, and comparing quotes, and preparing quote proposals.
Assist with company internal events (Annual Health check-up, Women's Day, Halloween, Christmas Day, etc.) and activities (Birthdays, Year-end party, Company trip, etc.) and initiatives that support the organizational goals and culture.
HR support
Support On-boarding and Off-boarding processes for the newcomers and leavers respectively.
Keep track and scan employee's documents in the right place and with prescribed timelines.
Assist with company ONE TEAM program: Employee Childcare benefit, Gym membership, etc.
Other duties as assigned.
Technical Skills
Good English communication skills (written and spoken)
Experience in indirect procurement and vendor management
Highly competent in Microsoft Office (Word, Excel, Power Point) and applications in Office 365 suite
High sense of responsibility, can-do attitude, solution-oriented mindset, good team player, willing to learn
Active listening skills, analytical and problem-solving skills
Administrative and organizational skills
Things that will separate you from the rest
Knowledge of visa, work permit, and TRC paperwork (for expats)
Having experience and enjoy working in Technology companies, hospitality
Education or Certifications
Diploma degree in business administration, or related fields.
