Position Overview:
The Event Intern will support the coordination and execution of various F&B-centered events for our F&B brands under The Lab Concepts. This role is ideal for students in their 3rd or final year who are detail-oriented, capable of handling administrative tasks, and can commit to at least 4 days per week, excluding weekends for event execution. The internship duration is 6 months
Responsibilities
Event Planning and Coordination
- Assist in the development of event concepts and themes, contributing creative ideas.
- Research and book talents, vendors, and suppliers, ensuring high-quality selections that align with event objectives.
- Help create and manage event timelines and schedules, ensuring all tasks are completed on time.
- Coordinate with both external and internal stakeholders to understand their requirements and preferences, ensuring smooth service during events.
Administrative Support
- Manage event-related paperwork, contracts, and invoices with a high degree of accuracy.
- Coordinate with internal teams and external partners, ensuring clear and consistent communication.
- Handle event registrations and attendee communications, maintaining professionalism and prompt responses.
- Maintain detailed records of activities and communications, ensuring everything is documented for post-event analysis.
Marketing and Promotion
- Coordinate with the Creative Team to create promotional materials (e.g., flyers, social media posts) that align with brand guidelines.
- Assist in executing marketing campaigns, tracking their effectiveness, and making necessary adjustments.
On-site Event Support
- Manage the setup and breakdown of event spaces, ensuring everything is organized and meets event specifications.
- Ensure the timely delivery and setup of all event items, coordinating with vendors and suppliers as needed.
- Assist with event logistics, such as registration, seating arrangements, and AV setup, troubleshooting any issues that arise.
- Provide support during the event, including assisting attendees and addressing any immediate concerns or issues.
Post-Event Activities
- Help with event wrap-up activities, including organizing and participating in debrief meetings and reports.
- Collect and analyze attendee feedback, providing insights for future events.
- Assist in compiling post-event reports and presentations, summarizing key outcomes and areas for improvement.
General Responsibilities
- Participate in team meetings and brainstorming sessions, contributing ideas and feedback.
- Stay updated on industry trends and best practices, applying them to your work.
- Take on special projects as needed, demonstrating initiative and a willingness to learn.
