COMPANY INTRODUCTION
Organizational Context
The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world's largest humanitarian organization, with a network of 192-member National Societies. The overall aim of the IFRC is "to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world." The IFRC works to meet the needs and improve the lives of vulnerable people before, during and after disasters, health emergencies and other crises. The IFRC is part of the International Red Cross and Red Crescent Movement (Movement), together with its member National Societies and the International Committee of the Red Cross (ICRC). The work of the IFRC is guided by the following fundamental principles: humanity, impartiality, neutrality, independence, voluntary service, unity, and universality. The IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegation and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat. The IFRC Secretariat work is guided by its Plan & Budget 2021-2025, articulated around five strategic priorities: Climate and Environmental Crises, Evolving Crises and Disasters, Growing gaps in health and wellbeing, Migration and Identity, Values Power and Inclusion. The Plan & Budget 2021-2025 also defines three enablers: Engaged, Accountable, Trusted. The Agenda for Renewal provides a vision for how the IFRC sees its role in the implementation of Strategy 2030. The Agenda for Renewal ensures that the IFRC provides strategic and operational membership coordination, National Society Development services and represents the collective with humanitarian diplomacy and advocacy. This position is located in Hanoi, Viet Nam, under the Country Cluster Delegation for Thailand, Cambodia, Laos and Viet Nam.
Conference Support Officer (9months)

JOB DESCRIPTION
Job Purpose
In 2023 the Asia Pacific Regional Conference will be hosted by the Viet Nam Red Cross Society. The Membership Services Unit of the APRO office will lead the secretariat support to the planning, administration and delivery of the Regional Conference. The Country Cluster Delegation for Thailand, Cambodia, Laos and Viet Nam will provide incountry support to Viet Nam Red Cross for liaison, coordination and administration, under the direction of the IFRC Asia Pacific Conference Coordinator, based in Kuala Lumpur. This role will work closely as part of an incountry team with a Program Officer and Support Services Officer, also based in Hanoi. The role will have a range of administrative, logistical and liaison support to the Viet Nam Red Cross. This will include, but is not limited to: Deliverable 1: Provision of administration and planning support to IFRC Under this deliverable the following types of activities will be required: • Work closely and be the incountry liaison with the Regional Conference coordinating committee of the Viet Nam Red Cross • Support the Conference Coordinator to ensure all general administration is planned for including, memorandum of Understanding, Planning Committee meeting, Concept Notes, Rules of Procedure, Conference Functions, Convocation letter, Conference overall structure • Support with visa requests and Vietnamese Government approvals for IFRC • Liaise with VNRC with in-country logistics including: Logistics, venue, hotels, transport arrangements confirmed, social functions, exhibition stands or tables agreed, souvenirs Production, volunteer training & management, communication, • Support with travel arrangements of participants, particularly protocol arrangements. • Support on setting up meetings between IFRC and VNRC • Support with verbal and written translation from Vietnamese to English and English to Vietnamese for IFRC engagement Deliverable 2: Provision of event support • Support with protocol management and event administration and logistics requests • Other support as requested by the Conference Coordinator Deliverable 3: closure of the Regional Conference administration • Ensure all finance and administration in-country is completed by December 31 2023 • Overseee the closure of the IFRC Regional Conference program in Vietnam by December 31 2023
Job Duties and Responsibilities
Actively work towards the achievement of the IFRC Strategy 2030 and the Plan and Budget. Abide by and work in accordance with the Red Cross and Red Crescent principles. Perform any other work related duties and responsibilities that may be assigned by the line manager.
REQUIREMENTS
Education
University degree in relevant areas of study. (Required)
Experience
3 years of working and experience in planning or administration role (Required) Experience with event management (Required) Experience with verbal and written translation between Vietnamese and English (Preferred)
