Job title: Senior Operation Executive
Job function: Staff

Location: Japan
Experience level: At least two years of experience in Operation Executive in tourism industry, preferred in B2B inbound tours with EU market

Salary: Experience dependent

JOB DESCRIPTION

Primary Objectives:

Build a tour program and prepare tour guide materials to meet and satisfy travellers' expectations.
Solve all the trouble, including taking responsibility for changing the program.

Main tasks

Compile and recheck all information received.
Recheck the new programs carefully and inform the Sales Department or the Reservation staff if any unreasonable problems arise.
Ensure that all client needs are met (request confirmation from the Sales department to verify that all received information is accurate).

Conduct the operating program

Build a tour program and prepare tour guide materials: recheck all the services, add notes for the guide with special remarks concerning the profile of the traveler(s), prepare welcome gifts, sightseeing tickets, tourist registration forms, etc.

Deliver profiles over to tour guides.

Briefly program for the tour guide, pay attention to the unique selling points compared to the original.
Make calls and deliver profiles to the tour guide at least five days in advance during low season and three days in advance during high season.

Monitor, supervise, and solve problems arising during the tour

Pre-check services to ensure all services are reserved prior to the client's arrival.
Monitor, supervise, and update information on the situation of tourists through the tour guide.
Directly solve problems arising during the tour and take responsibility for any problems arising.
Update the issues in the issue reports and transfer them to the Quality Control Department.

Other tasks

Handle cases that require changes due to storms, floods, etc.
Update information about the sightseeing fares, opening and closing times of tourist spots.
Inspect the destination/service to update information to other departments.
Conduct research to extend the guide database by finding possible guide suppliers.
Conduct a meeting with guides: review the salary of guides and the payment facilities every year.
Update and implement all commitments, policies, and guidelines related to sustainability.

JOB REQUIREMENTS

University: Bachelor's or Master's in Hotel / Tourism / Foreign languages / Economy or other related fields
Fluent in English & Japanese language
At least two years of experience an Operations Executive in the tourism industry, preferred in B2B inbound tours with the EU market.
Preferred candidates who are Japanese or Vietnamese and fluent in English, Japan, and have at least two years of experience as a Senior Operations Executive in the tourism industry
Good Strong knowledge of the Tourism field, Hotel and Tourism Management
Good leadership and management skills
Good analytical and problem-solving skills and strong decision-making skills
Good presentation skills
Good communication skills
Good computer skills (Excel, Word, Outlook)
Good planning and organizational skills to balance and prioritize work
Self-motivated to learn new concepts and participate in new projects
Characteristics: pleasant personality, positive attitude, open-minded, honest, active and decisive
