Key Responsibilities:Administration (40%)
Handle general administrative tasks such as answering and transferring phone calls; processing emails, faxes, files, meeting minutes, letters, and deliveries; arranging appointments and coordinating meeting room bookings.
Manage office equipment, rental contracts, suppliers; purchase office supplies and stationery to ensure smooth daily office operations. Maintain a clean, tidy, and organized workspace.
Arrange visas, work permits, flight tickets, and hotel bookings for employees and visitors.
Support document translation, interpretation, and submission for notarization services.
Organize and manage filing systems, control stationery and office supplies, and maintain proper documentation records.
Support employees and departments in special activities, including organizing internal and external events.
Serve as the first point of contact for visitors, staff, candidates, and suppliers.
Support business-related activities as required.
Provide comprehensive support to ensure the office's daily functions run efficiently.
Accounting (30%)
Verify invoices and receipts for payment processing; record payments/expenses. Track and ensure accounts payable are settled accurately and on time.
Carry out payment transactions directly or via bank transfers for suppliers and partners, including reconciliation of balances, invoice receipt, payment request verification, and preparation of payment vouchers.
Monitor and manage the office's overall accounts payable and provide recommendations for provisioning and handling bad debts.
Prepare monthly accounting/bookkeeping reports and financial reports.
Store and record accounting documents in accordance with regulations.
Human Resources (30%)
Post job advertisements, screen CVs, conduct phone interviews, arrange interviews, and handle onboarding and offboarding procedures.
Update and manage all employee-related information.
Update HR-related policies and make recommendations to the company when necessary.
Stay updated on labor regulations and contribute to the development of appropriate company policies.
Handle C&B tasks including payroll verification, compulsory insurance (SI-HI-UI), PIT computation, timesheet management, leave requests, etc.
Yêu cầu
Qualifications
Fresh graduates or candidates with 1-2 years of experience.
Experience in the pharmaceutical industry is an advantage.
Skills
Proficiency in English (all 4 skills).
Strong organizational skills and attention to detail.
Quick learner with good self-management and ability to work independently.
Honest and reliable.
