A. JOB DESCRIPTION
The Office Manager oversees the administrative and operational functions of a legal office, ensuring its efficient and smooth functioning. This role involves managing office staff, handling administrative tasks, coordinating office procedures to support the legal team's activities.
· Create, manage and secure the file storage system including (i) customer records/emails; (ii) personnel; (iii) administration;
· Delegate tasks and ensure timely completion of office duties;
· Manage office supplies and equipment, including procurement and maintenance;
· Develop and implement office policies and procedures to improve efficiency and compliance;
· Handle correspondence, emails, and phone calls, redirecting inquiries as appropriate;
· Schedule appointments, meetings for attorneys;
· Prepare legal documents, contracts, and correspondence under the guidance of attorneys;
· Maintain confidentiality and handle sensitive information with discretion.
· Assist in recruitment and hiring processes, including job postings, interviewing, and onboarding new employees;
· Coordinate staff training and professional development initiatives.
· Coordinate office logistics, including space management, facility maintenance, and security protocols;
· Ensure compliance with legal regulations and standards, including data protection and privacy laws.
· Oversee billing and monitor office budgets and expenses, manage accounts payable and receivable, reconciling financial records regularly.

· Have 1-2 years working experience is preferable;
· Required language: English;
· Be proficient in Microsoft Office: MS Word, Excel, Power Point, Internet, Outlook...
· Having sound knowledge and hands on experience of all aspects of work undertaken by the Legal Admin support team;
· Bachelor's degree in Business Administration or related field, having a graduated in Law is advantage;
· Excellent communication and interpersonal abilities;
· Proficiency in office software applications, including Microsoft Office Suite;
· Ability to handle confidential information with integrity and professionalism;
· Well-developed problem solving skills;
· High attention to detail and exceptional organizational skills;
· Outstanding interpersonal and communication skills as you will be regularly in contact with clients, suppliers and other third parties;
· Excellent organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines;
· Ability to work independently and as part of a team in a fast-paced environment.
