Overview about this position: The Merchandising & Accounting Admin (Receptionist) has to handle financial administration, front office duties, and critical infrastructure maintenance for our Vietnam office. This position plays a crucial role in maintaining efficient office operations while ensuring accurate financial documentation, reporting, and compliance with ISO 9001:2015 quality management standards.
Detail Key Responsibilities
A. Expense Control (10%)
- Monitor and minimize office-related expenses
- Maintain accurate financial records in our GGD system, ensuring proper ownership transfer
to management
- Document all transactions with proper verification
- Coordinate with external accounting company (Crowe) following strict documentation
protocols
B. Transportation Coordination (10%)
- Process R40 transportation requests before daily 4:00 PM deadline
- Coordinate efficient team transportation including GrabCar bookings for multiple-person
factory visits
- Manage sample movement between facilities according to transportation policy
- Implement the dual-verification process for transportation needs
C. Quality Management System Adherence (10%)
- Follow all M02.1 manual procedures consistently
- Maintain required documentation and records
- Support quality assurance processes
- Ensure strict compliance with communication protocols
D. Accounting Documentation (5%)
- Process invoices within 2 hours of receipt- Transmit documents to accounting firm on schedule
- Maintain proper filing systems with verification in GGD Best accounting folder
- Follow established financial administration procedures
E. Security and Visitor Protocol (10%)
- Manage office access and visitor registration
- Secure confidential materials and information
- Implement company security protocols
- Follow receptionist communication and access protocols
F. Facility and Infrastructure Maintenance (15%)
- Complete daily R41 maintenance records
- Monitor critical systems including automated plant irrigation
- Coordinate repairs and vendor services
- Ensure continuous operation of power-dependent systems
- Manage plant care and maintenance, especially during holidays
G. Document and Sample Management (10%)
- Process courier services and track shipments
- Coordinate laboratory sample transportation
- Maintain accurate shipping records
- Ensure QC inspection of samples before merchandisers receive them
H. Team Coordination Support (10%)
- Facilitate communication between departments
- Support merchandiser team members with administrative tasks
- Assist with meeting coordination
- Maintain official communication channel for coordination group for transportation
I. Administrative and Legal Compliance (10%)
- Ensure adherence to Vietnamese regulations
- Maintain required legal documentation
- Process administrative requirements timely
- Supervise team adherence to company policies
J. Management Support (10%)
- Provide direct assistance to leadership
- Follow proper communication protocols, maintaining required CC chain
- Complete executive requests with priority
- Manage GGD folder structure and ownership transfer
Critical Responsibilities
- Ensure continuous operation of critical infrastructure (power supply, automated irrigation
systems)
- Maintain proper transfer of all GGD folder ownership to management
- Maintain plant care, especially during holiday periods
- Follow strict financial administration procedures and communication protocols
- Monitor and supervise team adherence to company policies
Working Hours- Monday-Friday, 8:30 AM - 5:30 PM- Saturday, 8:30 AM - 12:30 PM

Yêu cầu

Yêu Cầu Công Việc
Bachelor's degree in Accounting, Business Administration or related field
Strong attention to detail and organizational skills
Proficiency in Microsoft Office and Google Workspace
Excellent written and verbal communication in Vietnamese and English
Experience with digital filing systems and documentation management .
Have the skills, abilities, and qualities necessary to ensure the successful execution of the job descriptions mentioned above;
This position requires strict adherence to company documentation protocols, accounting procedures, and office maintenance requirements while maintaining efficient front office operations. The ideal candidate will demonstrate strong organizational abilities, accuracy in both financial and administrative tasks, and commitment to maintaining critical infrastructure
