Role Summary:
The Sales Admin provides documentation, coordination, and administrative support to three RevOps functions: the Supply Chain Coordinator (SCC), the Global Sales Executive (GSE), and the Senior Customer Relationship Manager (SCRM). This is a support-and-execution role for a fast-moving, cross-functional commercial team at a Vietnam-based engineered quartz (E-Stone) manufacturer, with heavy day-to-day interaction with Production and R&D.
The role's most distinctive skill requirement is the ability to read architectural / interior CAD drawings and accurately extract countertop and vanity top scope from them - turning a drawing into a clean, quotable spec. Candidates with a background in construction or interior design/fit-out companies are strongly preferred for this reason.
Key Responsibilities:
1. CAD Drawing Review & Spec Extraction:
• Read architectural, kitchen, and interior CAD drawings (2D layouts, elevations, shop drawings) submitted by clients or fabricators.
• Accurately identify and extract countertop and vanity top scope - dimensions, edge profiles, cutouts, seams, and material/color callouts - into a clean, quotable format for Estimation.
• Flag drawing discrepancies, missing dimensions, or ambiguous scope back to the client or internal stakeholders before quotation.
2. Documentation & Contract Support:
• Prepare, track, and file sales contracts, quotations, POs, and order confirmations for SCC, GSE, and SCRM.
• Review contracts and related documents for missing terms, inconsistencies, or compliance issues before signature; escalate problem clauses.
• Maintain organized, up-to-date document records (digital filing, version control, naming conventions) so any team member can locate the current status of a deal or shipment.
3. Cross-Functional Support (SCC / GSE / SCRM):
• SCC: assist with export/logistics paperwork, shipment tracking documents, and delayed-container follow-up.
• GSE: assist with new
business development materials, market research compilation, and account documentation for overseas prospects.
• SCRM: support the local kitchen-solutions business development effort in Vietnam - this is SCRM's core focus - by preparing drawing-based quotations, client documentation, and site/project files for local kitchen and cabinet projects.
4. Production / R&D Communication:
• Since TSS is a manufacturer, relay drawing specs, order details, and client requirements clearly to Production and R&D, and communicate feasibility, lead time, or spec constraints back to sales.
• Act as a reliable link so that what is quoted matches what can actually be manufactured.
5. General Administration:
• Proactively organize recurring reporting (weekly updates, order status, document checklists).
• Take ownership of open items without needing constant follow-up - proactively chase missing documents, signatures, or drawing clarifications.
