Mô tả công việc
*JOB PURPOSE: To support the Community Service Project Manager in establishing and maintaining appropriate community service opportunities for student participation and involvement.
*REPORTING TO: Whole School Co-Curricular Coordinator and Community Service Project Manager
*GENERAL RESPONSIBILITIES:
1. Community Projects Administration:
• Establish and develop long term relationships between BIS community and community partners
• Discuss with Community Service Project Manager the objectives of exchange sessions.
• Attend all meetings with Community Service Project Manager with leaders of organisations/ NGO organisations in Vietnamese to discuss, plan and establish project links and project dates for all three campuses EY&I-Junior-Secondary - accurate translation is essential.
• Arrange transport for all community activities for partners and BIS students
• Respond promptly to any demands and/or changes regarding transportation and adapt plans appropriately
• Set up of events, ensuring everything is in place in good time - resources, equipment and staff
• Attend as many as possible curriculum and CCA events to ensure smooth running and be a vital link to ensure partner and BIS work well together
• Liaise with community partners and get feedback on all exchanges, logging it so it can be used in future action plans as well as continually evaluating for project improvement.
• Translate proposals set by Service Project Manager and communicate this officially with local partners.
• Manage expectations, cultural differences and conflicting schedules of Vietnamese Partners
• Ensure the quality of exchange sessions by monitoring activities on a regular basis and feeding back observations and recommendations to Service Project Manager.
• Keeping records of resources and donations in community service store and all community service records
• Arranging for refreshments to be served to all community service partners during exchanges and events
• Providing BIS Facility Managers with community partners names/ID cards and other required information before attending events at BIS
• Updating community partners contact list with numbers, email addresses and contact persons and keep in touch with them for any updates of events
• Liaising with Teaching Assistants to ensure they have all necessary information about appropriate exchanges and that they are fully briefed on expectations.
2. Resources and Accounts:
• Work closely with resources and purchasing to ensure value for money for partner and that any purchasing is in line with school policy
• Arrange and chase purchase orders
• Collate and collect resources for curriculum, CCA and PTG community projects.
• Manage distribution, movement and storage of BIS and PTG charitable donations and supplies to local organisations
• Work with accounts to support with PTG funds, bank transfers and community service account holding
• Responsible for recording and safe keeping of cash donations to the community fund.
• Manage the Community Service accounts and update the Community Service Project Manager on a regular basis.
• Collate wish lists from partners to support CSPM in suitably distributing community funds
3. Time Management:
• Balancing workload for both CCA and curriculum community projects
• Ensuring in advance all partners are prepared for up and coming events and exchanges
• Flexible towards overtime and to remain motivated during very busy periods.
4. Awareness:
• Support and liaise with service coordinators to maintain community displays - printing of posters, photos and creating signage, titles for displays for all campuses
• Make sure that photographs/videos are taken of service exchanges and events and liaising with the Marketing Department as necessary.
• Liaising with the Graphics Department on the development of community designs, certificates, badges, medals and banners as necessary.
5. Project Development:
• Help investigate appropriate local community service opportunities
• Develop links and research into existing charitable organisations within Vietnam
• To assist in developing joint Community Service projects with other international schools outside of Vietnam where possible
• To fulfil any reasonable additional responsibilities as may be from time to time requested by the Principal.
