As an Event Coordinator, you will be responsible for planning, organizing, and executing various events and activities within the school community. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively with teachers, staff, students, parents, and external vendors.
Job Description
1. Event Planning:
• Coordinate with academic team to plan school events such as Opening, Graduation ceremonies, Mid-autum Festival, Halloween, Concert, Entrepreneur Fair, etc.
• Collaborate with the
Marketing Executive to brainstorm ideas and develop agenda for events, ensuring they achieve the event purpose and effectively convey the school's key messages.
• Develop event timelines, budgets, and logistics plans.
• Secure necessary permits and permissions for events.
2. Vendor Management:
• Coordinate with the Purchase department to select suitable contractors for school events.
• Manage contractors to ensure they deliver services that meet the agreed-upon requirements and quality standards for school events.
3. Communication:
• Communicate event details, schedules, and requirements to involved stakeholders including staff, students, parents, and external parties
4. Logistics Coordination:
• Coordinate with related departments such as Facilities, IT, Admin, etc., or external parties to provide transportation, equipment, space, and facilities for events.
5. On-site Event Management:
• Oversee all aspects of events on the day, ensuring smooth execution.
• Address any issues or emergencies that arise during events.
6. Evaluation and Feedback:
• Collect feedback from participants and stakeholders to evaluate the success of events.
• Use feedback to make improvements for future events.
