Location and Work Arrangement
Location: Hoan Kiem, Hanoi
Work Arrangement: Hybrid (Office & WFH as per roster)
Working Schedule: Rotating shifts
- Day shift: 8:30 AM - 5:30 PM (8 working hours + 1 hour lunch break)
- Late shift: 1:00 PM - 9:00 PM (7 working hours + 1 hour dinner break)
- Rotation: 1 day normal hours → 1 day late shift
Employees working the late shift may work from home, subject to approval by the line manager.
3-Month Training Program
This position is part of a 3-month structured training program designed to equip candidates with practical skills in customs documentation and logistics operations.
- Training Duration: 3 months
- Allowance: VND 5,000,000 - 7,000,000 / month
Training Focus
- End-to-end shipping document preparation
- Accuracy & data reconciliation (Invoices, Packing Lists, Bills of Lading)
- Customs compliance and workflow understanding
- Shipment tracking and issue handling
- System data entry and operational reporting
Successful candidates who demonstrate strong performance during the training period may be offered a full-time position as a Junior Document Analyst.
This program is open to fresh graduates, final-year students majoring in business-related fields, as well as career changers interested in Supply Chain Management and Logistics.

We are currently seeking a Documentation Intern / Trainee to join our Documentation Team at our Vietnam Representative Office located on Ly Nam De Street, Hoan Kiem District, Hanoi.
Responsibilities
- Prepare and provide accurate customs instructions to carriers and freight forwarders to support timely and compliant customs clearance processes.
- Coordinate closely with internal teams, carriers, and forwarders to ensure all customs requirements and instructions are clearly communicated and properly executed.
- Manage and process export documentation for shipments, including but not limited to Export Declaration, Bill of ladings, Certificates of Origin (CO), attestations, health certificates, and CHED documents.
- Ensure all documentation complies with relevant regulations and is completed accurately to facilitate smooth customs clearance and minimize delays.
- Monitor shipment progress and proactively follow up on customs clearance status, identifying and resolving any documentation or clearance issues in a timely manner.
- Maintain well-organized records of all shipment and customs documents in accordance with internal SOPs and audit requirements.
- Assist with documentation processing and monitoring to support client needs.
- Perform administrative tasks such as research and email communication, as well as ad hoc duties assigned by the line manager.
- Maintain strict client confidentiality.
Requirements
