Day
to day, you will be the energetic face of Animal Doctors International,
always ready to meet and greet customers & their pets with a
welcoming and positive approach. You are the first impression a current
or potential customer sees or hears and are representative of all that
we represent.
You will handle the booking appointments and
registering new clients, deal with all incoming calls and
emails/messages, manage the reception space, help with managing
questions and generally be a point person for all staff!
The
perfect person for this role will get to know our customers, be able to
greet people by name, and build a strong relationship with all you come
into contact with. You will communicate some of the amazing care
provided by Animal Doctors International, support our customers through
both great experiences and sadness, and should love helping people!
To
be considered for this role, you will have at least 1-year of Reception
experience within a customer-facing environment. You will be a
top-class communicator with a warm personality and proactive nature. You
will be service driven and love to ensure a fantastic impression on
everyone you meet!

Key Responsibilities
Serve as "Ambassadors" - creating and maintaining goodwill for the hospital, while stationed at the front desk in the reception area.
Answer and triage phone calls, emails, messages from clients.
Troubleshoot issues over phone calls, chat and handle customer complaints.
Make calls, follow up and update on lists of customers.
Schedule appointments and other patient visits in the appointment book, including re-check appointments, surgeries, and drop offs.
Call clients to confirm appointments, remind of missed appointments and laboratory results as well as callbacks for procedures performed.
Relay appropriate information to/from clients to doctors and/or management.
Quickly understand client needs and initiate the process of meeting those needs.
Help new clients completely fill out the registration form. Inform new clients about services, etc. that we offer.
Maintain proper documentation in the electronic medical record
Prepare deposit slips and/or cash balancing worksheet for the daily bank deposit as directed by the Hospital/Office Manager.
Present and explain fee estimates for treatment/surgery to clients.
Process payment transactions
Working place: 78 To Ngoc Van, Quang An, Tay Ho, Ha Noi
Working time: 48 hours/ week, with flexible shift scheduling
REQUIREMENTS
What We Are Looking For
Good English communication skills.
Accept only candidates with no experience or up to 1 year of experience.
Having phone skills and client service skills is a plus.
Must be friendly, outgoing, "people-oriented."
Well groomed, organised and detail oriented.
Ability to handle money accurately and honestly.
Must possess sound decision making skills and multi-task while working in an environment of stress.
