Job Summary
We are looking for a proactive and detail-oriented HR & Admin Coordinator to support daily office operations and HR activities at Four Hands Vietnam. This role plays an important part in ensuring a smooth working environment and positive employee experience within an international setting.
Key Responsibilities
1. Office Administration
• Manage reception tasks: welcome visitors, handle calls, mails, and couriers;
• Coordinate office supplies, pantry and workplace services;
• Liaise with vendors for travel arrangements, accommodation and office maintenance;
• Monitor office facilities and resolve issues with suppliers;
• Manage contracts, renewals, and payment schedules.
2. HR Operations
• Support onboarding process for new employees;
• Maintain employee records and HR database (leave, personal data, etc.);
• Assist in organizing internal events and employee engagement activities;
• Support expatriate processes: visa, work permit, and TRC.
3. Accounting & Coordination
• Track and consolidate office expenses and invoices for payment;
• Manage petty cash and coordinate supplier payments;
• Support documentation and submission to relevant authorities.
