**WORK LOCATION : Heritage Line Halong Branch,
**DIRECTLY REPORTING TO: Human Resources Manager and Branch Director
** Prefer: Vietnamese Nationality
***PURPOSE AND SCOPE OF ROLE:
The purpose of the HR & Admin Executive - Halong Branch role is to execute the administration and human resource according to the Heritage Line company's policy and procedures in Halong.
***RESPONSIBILITIES:
**Staffing
• Prepare and record labor contracts and offer letters for ships.
• Record and manage personal data of staffs / crews.
• Update and record Annual leave of staffs (crews).
• Support HR documents for company's projects (if any).
• Check and advise allowances, balance of used annual leave for staffs (ships).
• Combine with Corporate HR to monitor staff attendance and annual leave.
**Compensation & Benefits:
• Prepare monthly payroll sheet and pay-slips for Halong (Jasmine, Violet, Sunset and Ginger)
• Prepare monthly payroll for Heritage Line office in Halong;
• Prepare and submit regulatory documents/reports to the relevant Authorities (PIT, SHUI, Labor Department, etc).
• Check essential information and make the SI claim for staff at SI Authority.
• To prepare PIT finalization annually and responds to staffs about salary payment/deduction (if any).
• To control the Certificate of PIT withholdings by report submission as required from Tax Authority and issue to staffs as requested.
• To create PIT code to staffs and advise & submit the required documents for Staff's Dependence Registration.
**Recruitment and resignation procedure:
• Supporting HR Head Quarter about the recruitment in Halong' side.
• Record all Heritage Line HR documents in system: Labor contract, Offer Letter, Decision, candidates' CVs, Staffs' dependence Registration, etc. in Halong
• Support exiting staff with required HR documents.
**Administration
• Payment request for admin tasks (Stationery, taxi fee, telephone charges...)
• Ad hoc tasks assign by the HRM and Halong Branch Director.

QUALIFICATIONS AND KNOWLEDGE

EXPERIENCE
• Tertiary studies in Human Resources or Business Administration
• Knowledge of labor regulations across all Heritage Line locations
• Minimum 3 years international working experience
• HR and Admin experience essential (in a similar role and industry preferable)
SKILLS
• Excellent written and spoken Spanish, then English
• Thorough understanding of MS Office (Excel, Word, PowerPoint etc.)
SPECIAL REQUIREMENTS
• Flexibility to work overtime
• Ability to work under pressure
