**Position Objective**
The HR Assistant Manager is responsible for planning, coordinating, and overseeing all training and development initiatives within the organization. This role also leads engagement programs, manages HRVN internal communications, and serves as the HR Business Partner (HRBP) for the AAVN school, ensuring alignment of HR strategies with the school's goals and culture.
**Responsibilities**
The incumbent is expected to actively perform a full range of duties, including but not limited to:
1. **Training & Engagement**
**Training**
• Develop and implement an annual training plan that aligns with organizational goals, staff development needs, and insights from skill gap analyses.
• Plan and execute both internal and external training programs, managing the full cycle including budgeting, scheduling, vendor coordination, participant engagement, and logistics.
• Design and deliver learning programs, workshops, and development initiatives to build staff capabilities, working closely with department heads to ensure alignment with performance objectives and career progression pathways.
• Oversee day-to-day training operations, including venue setup, preparation of training materials, attendance tracking, and post-training evaluation and follow-up.
• Monitor and assess training effectiveness through feedback collection, knowledge assessments, and analysis of performance impact to guide continuous improvement.
• Control the training budget, track expenditures, and prepare monthly reports for submission to the HR Director, ensuring transparency and effective resource utilization.
• Manage and continuously enhance the internal learning management system, ensuring the system is user-friendly, and accessible; monitor usage, track learner progress, and support the system admin during the process of implementation.
**Engagement**
• Develop and execute an annual engagement plan that supports employee well-being, team cohesion, and a positive organizational culture.
• Lead the planning and delivery of employee engagement initiatives such as wellness programs, recognition activities, surveys, and team-building events.
• Maintain and manage a detailed engagement calendar, ensuring alignment with key HR and organizational milestones and timely communication across teams.
• Collect and analyze engagement data (e.g., participation rates, feedback, survey results) to identify trends and recommend data-driven improvements to enhance employee experience.
• Control the engagement budget, track expenditures, and prepare monthly reports for submission to the HR Director, ensuring transparency and effective resource utilization.
2. **HRVN Communications**
• Lead HR-related internal communications to ensure clear, consistent, and timely updates across all HR initiatives.
• Create and review HR communications in both English and Vietnamese, including newsletters, announcements, and internal campaigns.
• Support the creation of communication materials for training, engagement, and organizational updates aligned with the company's branding and tone.
3. **HRBP for the School**
• Serve as the dedicated HR Business Partner for the School, working closely with the school leadership team to align HR strategies with school goals and ensure a cohesive, supportive employee experience.
• Manage the full employee lifecycle at the school, including but not limited to onboarding, mobility, relocation, repatriation, visa and work permit processing, safeguarding, health insurance, banking support, and exit processes.
• Act as the primary HR contact for staff, ensuring effective communication of HR policies, procedures, and updates to enhance employee understanding and engagement.
• Provide timely and accurate support for HR planning and analysis, including workforce planning, headcount tracking, and coordination with Head of School and related stakeholders for staffing needs.
• Oversee safer recruitment compliance at the school by maintaining tracking systems, accurate reporting, and strong data management; act as a key HR gatekeeper for safer recruitment matters.
• Collaborate with stakeholders to support organizational design, including team restructuring and role alignment, ensuring HR involvement in change management processes.
• Mentor and develop team members by providing coaching, sharing knowledge, and fostering a collaborative team dynamic.
• Coordinate with the central HR function to ensure consistency and compliance with organization-wide HR policies, processes, and standards.
**Other**
• Drive agile and innovative HR strategies across Vietnam by actively contributing to cross-functional HR projects and initiatives.
• Manage and update the organizational chart to reflect accurate reporting lines, team structures, and staffing changes; ensure alignment with OD efforts and workforce planning strategies.
• Lead and oversee the onboarding process to ensure a smooth, consistent, and engaging experience for all new hires, aligning with organizational culture and values.
• Support the continuous improvement of HRIS systems by reviewing and enhancing data quality, workflows, processes, and system configurations.
• Assist in the creation and refinement of relevant HR forms, reports, and tools to streamline operations and ensure compliance.
• Perform other duties as assigned by the HR Director to support HR operations and strategic priorities.

Qualifications
• Bachelor/Master's degree in HR related field or equivalent experience
• Minimum 3-year progressive experience in the relevant roles.

Working Conditions
• Working Hours: 8:00 am - 5:00 pm, Monday to Friday. Occasional evening and weekend work is to be expected.
• Annual Leave: 12 days per school year (pro-rated based on actual employment time)
