The Vertical consists of leading international specialists in agricultural raw materials, with trading teams in grains, coffee, sugar, and cotton. In recent years, they have also expanded their portfolio with trading teams in metals and energy.

Purpose of the job
The HR Assistant & Office Manager is responsible for delivering efficient HR operational support while managing the day-to-day office operations in Ho Chi Minh City.
This role ensures a well-organized, compliant, and professional work environment by combining employee office management support/coordination, stakeholder management and HR support. The position serves as the local point of contact for HR and office-related matters, supporting employees and regional stakeholders.
Key areas of responsibility
Office Management & Administration
• Oversee daily office operations, ensuring a safe, efficient, and professional work environment.
• Support a positive and active employee experience and workplace culture.
• Timely response to office matters.
• Taking care of guests when they are in the office.
• Manage office vendors (facilities, cleaning, IT equipment, security, catering).
• Coordinate office maintenance, supplies, and procurement.
• Liaise with IT and external providers for equipment setup and support.
• Maintain and improve office policies and procedures.
• Act as local compliance point of contact for audits and internal controls.
• Support health & safety standards within the office.
• Organize internal events, team activities, and office logistics.
• Assist in general assistance to internal visitors during their stay (including hotel bookings).
• Provide general administrative support to employees (e.g., workspace, supplies, travel coordination where required).
HR Operations & Administration
• Support recruitment activities, including job postings, interview coordination, candidate communication, and preparation of employment-related documents.
• Coordinate onboarding and offboarding, including contracts, documentation, and system setup.
• Coordinate and support immigration, work passes, and relocation processes.
• Maintain accurate and timely employee records and HRIS (e.g., SAP SuccessFactors).
• Administer HR documentation (contracts, amendments, letters, certificates).
• Support payroll coordination with local finance team.
• Administer employee benefits, enrolments, and employee queries.
• Act as first point of contact for HR-related employee inquiries.
• Ensure compliance with local labour laws and internal policies.
• Keep up to date on local regulations and guidelines to ensure legal compliance.
• Support HR projects and process improvements.

Experience Requirements
• Bachelor's degree in Business Administration, Human Resources, or a related field.
• At least 3-5 years of relevant experience in Human Resources Administration, Office Administration, or a similar support role.
• Good command of both spoken and written English.
• Good communication and coordination skills with a professional and service-oriented mindset.
• Strong organizational and multitasking skills with excellent attention to detail.
• Proficient in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
• Experience with SAP SuccessFactors is an advantage.
• Knowledge of HR administration, statutory insurance procedures, payroll coordination, travel arrangements, and general office administration is an advantage.
• Ability to work independently as well as collaboratively with different departments in a fast paced environment.
• Careful, honest, responsible, proactive, and able to work harmoniously with others.
