1. Reception tasks:
- Welcome guests and direct them to the right contacts and venue, serve refreshment.
- Manage the telephone switchboard: receive phone calls, direct the call to the right contacts and/ or take messages for related persons when necessary.
- Record, manage and distribute incoming and outgoing correspondences (hard and soft copy).
- Ensure the tidiness, professional looking and readiness of reception area, meeting rooms, pantry and other office spaces.
2. Administration tasks:
Implement and manage well office administration tasks in accordance with Company policy and regulations, including:
- Manage the Company's stamp, make chops for documents in accordance with Company regulations on authorization and devolution.
- Purchase and manage office tools and assets usage, do necessary maintenance to ensure all office tools/ assets are in good order.
- Process asset liquidation as required.
- Order, manage the usage and make payment for stationery, printing items, office cleaning, flower, plan rental, golf and other items.
- Arrange logistics matters for staff and/ or guest's business trip such as accommodation arrangement, air ticket reservation, vehicles (car) arrangement and related procedures.
- Manage internal and external warehouse.
- Manage the use of Company owned car, rental car and taxi.
- Manage and follow up the rental for expats, rental, repair and renovation of office.
- Make payment requests for all kinds of GA items. Record, follow up, analyze and report on GA costs to ensure actual expenses do not exceed GA budget.
- Participate to organize Company events.
3. Other tasks as assigned by line manager or as required by the job.

QUALIFICATIONS
- University graduate or higher;
- At least 03 years of working experience; experience in administration, or office assistant roles is preferred;
- Attention to details, careful, honest, proactive in work processes;
- Effective multitasking skill, able to manage urgent tasks, have logical thinking;
- Effective communication and negotiation skill.
- Adept use of MS Office
- Fluent in English.

WORKING CONDITIONS
- Working location: Head Office, No. 23 Phan Chu Trinh, Cua Nam Ward, Hanoi city.
- Working time:
+ Monday - Friday, 8:00 - 17:00 or 8:30 - 17:30
+ Work from home: 1 day/ week
- Transportation by company car & taxi for outside assignments.
