When the company outsources import-export services to external logistics providers, the Import-Export Staff is primarily responsible for coordinating, monitoring documentation, and tracking shipment progress with logistics service providers/forwarders, rather than directly handling customs clearance procedures.
1. Import-Export Documentation Management and Preparation
· Prepare and review import-export documents, including:
o Sales Contract
o Commercial Invoice
o Packing List
o Bill of Lading (B/L) / Airway Bill (AWB)
o Certificate of Origin (C/O)
· Submit relevant documents to the appointed import-export service provider for customs declaration and clearance procedures.
2. Coordination with Import-Export Service Providers
· Work closely with forwarders and logistics service providers to facilitate customs clearance processes.
· Monitor customs declaration progress, transportation schedules, and cargo delivery status.
· Coordinate and assist in resolving issues arising during customs clearance and shipment handling.
3. Shipment Tracking and Management
· Monitor vessel schedules, flight schedules, and estimated arrival times of shipments.
· Provide shipment status updates to relevant departments (Warehouse,
Purchasing, Sales, etc.).
· Verify delivery and receiving documents to ensure accuracy and completeness.
4. Import-Export Cost Control
· Review quotations from logistics and transportation service providers.
· Reconcile transportation costs, customs-related charges, port fees, and service fees.
· Prepare payment requests for logistics and import-export service suppliers.
5. Reporting and Record Keeping
· Maintain and archive import-export documents in accordance with company policies and regulatory requirements.
· Prepare reports on order status, logistics costs, and shipment progress.
· Support internal departments in retrieving and reviewing import-export documentation when required.
· Basic knowledge of import-export procedures and international trade documentation.
· Ability to coordinate effectively with forwarders, shipping lines, and logistics providers.
· Good reading and comprehension skills in Business English.
· Strong attention to detail and excellent document management skills.
