Role and Scope of the Task:
1. Identifying appropriate service providers, preparing tender documents, and evaluating the outcomes.
2. Assessing, monitoring, and ensuring the high performance of service providers, particularly for new sourcing, different categories, and during peak business seasons.
3. Establishing, designing, communicating, and overseeing import-export processes and procedures.
4. Managing administrative processes and ensuring accurate payment procedures in collaboration with Logistics, Purchasing, and accounting departments.
5. Exercising control over all current expenses, ensuring their clarity and necessity.
6. Fulfilling other job-related duties as assigned by superiors.
An Import Supervisor is a professional who is in charge of managing all aspects related to import documents and licenses. The position requires a strong understanding of import regulations, documentation requirements, and licensing procedures.
Specific tasks
1. Customs Compliance:
- Stay up to date with customs laws, regulations, quotations, and procedures related to imports.
- Ensure compliance with import regulations, including tariff classifications, valuation, origin determination, and country-specific requirements.
- Prepare and submit accurate import documentation, such as customs declarations, licenses, permits, and certificates of origin.
- Collaborate with customs brokers and government agencies to resolve any compliance issues or inquiries.
2. Import Documentation and Record-Keeping:
- Review and verify import documentation, including invoices, packing lists, bills of lading, and other related documents.
- Maintain organized and accurate records of import transactions, ensuring proper filing and retention of relevant documents.
3. Freight and Logistics Management: Track and monitor the movement of goods from the origin to the warehouse, ensuring timely delivery.
4. Risk Assessment and Mitigation:
- Identify and evaluate potential risks and issues related to imports, such as regulatory compliance, transportation delays, and supplier reliability.
- Monitor and address any issues related to customs duties, tariffs, and trade agreements that may impact imports.
5. Communication and Collaboration:
- Liaise with internal departments, including Purchasing, Logistic, and Finance teams, to understand import requirements and provide necessary support.
- Communicate with international suppliers, customs authorities, and other external parties to resolve import-related queries or issues.
Performance measure
The Import Supervisor work overall and development is being assessed by the CPO. Besides regular exchange with the CPO, the Import Specialist should be subject to a formal assessment every half year.
More specifically he is being measured in his scope of work on the development of:
a) On-Time Delivery: Measure the efficiency of import processes and procedures, such as the time taken for customs clearance, accuracy of documentation, and overall process flow
b) Cost Management: such as customs duties, transportation costs, and other fees

- At least 2 years of experience in retail industry
- College degree or above
- Ability to communicate in English
