JAPAN - Contracting Executive

Job title: Contracting Executive
Job function: Staff

Location: Japan
Experience level: At least one year of experience in Contracting in tourism industry (preferred in B2B inbound tours with EU market) and experience with the Japanese hotel industry is a must.

Salary: Experience dependent

JOB DESCRIPTION

Primary Objectives :

As a Contracting Executive, you will secure and manage supplier contracts (hotels, transport, attractions, restaurants, guides, and experiences...) that deliver excellent margins, availability, and service levels for our inbound products. You will negotiate rates & allocations, load and maintain contract data in our Contracting system, and work closely with Sales and Operations to ensure contracted inventory is commercially optimized and operationally accurate.

Main tasks

Doing the price comparison between the dynamic rate & static rate.
Sourced and negotiated commercial agreements with hotels, transfers, attractions, restaurants, and activity suppliers in Japan.
Make a comparison between the supplier rate & company's static contract rate.
Prepare, review, and sign supplier contracts and rate sheets (including blackout, stop-sell, allotments, cancellation & payment terms).

Administration duties

Follow up on the contract with suppliers and submit the contract.
Update the supplier's contact list, credit list & allotment list.
Report to Contracting Team leader/ Contracting Manager.
Report comparing the supplier's rate & the company's static contract rate (weekly/monthly).
Report about Contracting admin work.
Coordinate with the relevant team/members.
Coordinate with the sales team to ensure the company's competitive rates.
Contracting and Services system uploading.

JOB REQUIREMENTS

University: Bachelor's or Master's in Hotel / Tourism / Foreign languages / Economy or related fields.
Fluent in Japanese and English.
At least one year of experience in Contracting in the tourism industry (preferred in B2B inbound tours with the EU market) and experience with the Japanese hotel industry is a must.
Preferred candidates who are Japanese or Vietnamese, fluent in English, and Japanese, and have at least one year of experience in contracting in the tourism industry.
Attention to detail.
Positive attitude, open-minded, customer service mindset.
Creative, dynamic, and good knowledge of products and destinations in Japan.
Good presentation skills.
Strong negotiation, communication, and partnership management skills.
Willing to travel often (especially in low season).
Good problem-solving skills.
Able to work independently and work well in a team.
