1. Sales Operation Support
Support scheduling meetings, including preparing meeting agenda & materials.
Take Minutes of Meeting (MoM) and follow up on action items.
Support tracking PO status after proposal/commercial offer acceptance.
Assist in preparing basic commercial documents and supporting materials during contract signing and project implementation.
2. Task Follow-up & Coordination
Assist in tracking to-do lists and sales activities.
Support updating deal progress based on input from
Account Manager.
Follow up with internal teams (Sales - HR - Delivery) to ensure assigned tasks are completed.
Support coordination between Japan-side activities and Vietnam teams.
3. Resource & Candidate Coordination
Support HR in collecting and organizing engineers' CVs based on client requirements.
Assist in mapping candidate information to job descriptions (under guidance).
Support interview scheduling, feedback collection, and onboarding coordination.
Update candidate pipeline tracking files.
4. Sales Material Preparation
Support preparing and updating PowerPoint slides in Japanese.
Assist in preparing:
company introduction materials
client meeting materials
proposal supporting slides
Organize and maintain sales materials and templates.
5. Document & Translation Support
Translate documents Japanese - English/Vietnamese (emails, slides, basic documents).
Proofread Japanese content before sending to clients (under review of senior members).
6. Research & Lead List Support
Research potential Japanese companies and partners based on given criteria.
Support building and updating lead lists.
Collect information about industry events, exhibitions, and trade shows.
7. Sales Tools & Document Management
Maintain shared folders and document repositories.
Update sales tracking files (Excel/CRM) based on instructions.
Organize meeting notes and sales documents.
