Mô tả công việc
We are looking for an experienced office manager for our office in Ho Chi Minh City. The successful candidate will be assigned the following roles:
1. Administrative Support to ensure efficient functioning of an office on a day by day basis, including:
- Organising meetings and liaising with internal/external parties in support of management and office staff
- Arranging for transport and accommodation for visitors and company staffs for site visits/external meetings
- Set up and Maintain document filing systems and defining procedures for retention, protection, retrieval, transfer, and disposal of records
- Assist to ensure that HR, Workplace health and safety policies are kept updated and complied with.
- Maintaining and Ordering of stationery, office supplies and furniture
- Prepare Office Admin Budgets
- Organising staff welfare events and other company events as required.
- Coordinate and play a lead in the recruitment process and induction programmes for new employees
- Coordinate staff training and performance appraisal process. Keeping personnel records up to date.
- Assist with letter correspondences to enquiries, preparing letters, presentations, minutes of meeting and reports in support of Management
- Assist in Corporate Secretariat functions (e.g. preparing board papers etc)
- Assist with document translation work (English - Vietnamese) as required.
- Other duties as assigned
2. Financial Support to Company Accountant
- Preparing of expense claims and liaising with outsourced accounting agent for invoices processing and payment.
- Assist and support Chief Accountant in corporate/financial reporting and liaising with accounting/corporate secretarial service providers..
Yêu cầu
- University Graduate - preferably in Finance/Business Administration
- About 5 years' experience as an office manager or office administration roles
- Proactive attitude and high energy level, Strong interpersonal skills, extrovert personality and ability to work effectively with both internal and external parties.
- Ability to read and understand contract documents, regulations etc.
- Good Language skills (Read/Speak/Write) in English and Vietnamese
- Basic Knowledge of accounting and Experience with bookkeeping.
- Experience in working for a foreign company or international engineering firm in the power/renewables industry is a competitive advantage.
- Good with office productivity software (e.g. Microsoft Word, Outlook, Excel, Powerpoint).
