Key Responsibilities
1. HR Administration and Recruitment Support
· Carry out recruitment work according to the staffing needs of different departments.
· Post job advertisements, screen resumes, contact candidates, arrange interviews and follow up on recruitment results.
· Coordinate with department heads to understand hiring requirements, job standards and candidate suitability.
· Follow up on new employee onboarding, including employee documents, personal information, work accounts and related procedures.
· Arrange and follow up on onboarding training plans for new employees.
· Track new employees' adaptation during the probation period and assist in collecting probation feedback.
2. Performance and Employee Data Management
· Collect, summarize and organize monthly employee performance evaluation data.
· Assist management in reviewing KPI data, evaluation scores, work results and performance-related information.
· Maintain employee files, labor contracts, personal information, salary information, social insurance records and related documents.
· Ensure employee information is complete, confidential, traceable and updated in a timely manner.
3. Policy Implementation and Employee Relations
· Assist in handling labor relations matters between the company and employees.
· Follow up on the signing, renewal, adjustment and filing of labor contracts.
· Assist in handling resignation, handover, contract termination and other HR-related procedures.
· Maintain and follow up on social insurance information according to company requirements and local regulations.
· Support management in implementing and enforcing HR and administrative policies.
· Communicate company notices, management requirements and internal policies clearly and accurately.
4. Office Administration and Internal Operations
· Arrange and handle daily office administrative affairs.
· Support
purchasing and management of office supplies, daily necessities, equipment and other administrative items.
· Track the usage, distribution and inventory of office supplies.
· Assist in maintaining a clean, tidy, professional and efficient office environment.
· Coordinate office maintenance, logistics, goods receiving, supplier communication and other administrative matters.
· Support the organization of company activities, department dinners, afternoon tea, annual meetings and other internal events.
5. Cross-Department Coordination and Task Follow-up
· Communicate and coordinate with different departments to ensure smooth internal cooperation.
· Follow up on department work plans, task completion and execution results.
· Help push forward internal operational arrangements and management requirements.
· Identify execution gaps, communication problems or workflow issues and report them in a timely manner.
· Help clarify task priorities, deadlines and responsible persons when needed.
· Propose practical and constructive solutions when problems are identified.
We are looking for a responsible, detail-oriented and execution-driven Operations & Administration Specialist to support the company's HR administration, office administration, internal operations and cross-department coordination. This role reports directly to the VP and will help ensure that internal tasks, administrative matters and HR-related processes are followed up properly and completed on time.
This position is suitable for candidates who want to develop practical abilities in execution, coordination, communication, problem solving and internal management support within an international working environment.
· Over 2 years of working experience in HR, administration, operations coordination, executive support or related positions.
· Strong execution ability and the ability to push tasks forward until completion.
· Strong comprehension ability and ability to quickly understand management requirements.
· Strong sense of responsibility, attention to detail and confidentiality awareness.
· Strong communication and coordination skills across departments.
· Able to identify problems, analyze situations and propose practical solutions.
· Able to work independently and handle multiple tasks at the same time.
· Able to adapt to a fast-growing and international working environment.
· Strong English or Chinese communication ability is required.
· Experience in international companies, fast-growing companies or cross-cultural teams is preferred.
