Work location: Ho Chi Minh (D2).
Reporting to: Operations Manager
Job Summary:
The Operations Assistant supports daily operational activities to ensure smooth coordination between sales, logistics, suppliers, customers, and internal departments. The role is responsible for document preparation, shipment follow-up, inventory coordination, and administrative support related to operational activities.
Key Responsibilities:
• Coordinate with suppliers, sales team, warehouse, and logistics partners regarding orders, deliveries, and shipments.
• Prepare and manage operational documents including contracts, purchase orders, invoices, shipping documents, and delivery records.
• Follow up on shipment schedules, returns, complaints, and delivery adjustments, and provide updates to related departments/customers.
• Monitor inventory and stock reconciliation
• Maintain operational records, filing systems, and basic sales/logistics reports.
• Coordinate with the accounting team regarding payments, expenses, and related documents.
• Support office administration: draft and update templates, translate documents from Vietnamese to English if needed, travel arrangements, welcome and assist guests/visitors at the office, compliance with company procedures.
• Perform other tasks assigned by the manager.
Yêu cầu
Requirements
• Bachelor's degree in Business Administration, Logistics, Supply Chain, International Business, or related fields.
• At least 3 years of experience in operations, logistics, sales support, or administration is preferred.
• Good communication, and time management skills.
• Careful, organized, and detail-oriented.
• Good command of Microsoft Office (Excel, Word, Outlook).
• Experience with ERP system.
• Able to communicate effectively in English, both verbally and in writing.
• Able to work independently
